∎ Salary Range: 50,000-65,000 BDT
∎ Community Partners International (CPI) is a U.S. based nonprofit organization that is working with local partner organization Green Hill (GH) to expand access to quality health services and generate the resources, local capacity and coordination necessary for partners and the vulnerable people to meet their own health and community needs.
∎ Job Summary: The Logistics Officer is responsible for coordinating all medical and non-medical logistics activities to ensure their timely and proper execution. This includes managing procurement processes, maintaining a real-time updated database for transparency and efficiency, and handling vendor management, including updating vendor lists and managing contracts. Conducting local market surveys is essential for staying informed about product availability and pricing. The role involves improving supply chain efficiency, ensuring quality control, and maintaining compliance with GH/CPI policies and local regulations, particularly regarding the disposal of medical supplies. The officer is tasked with keeping clear records of logistics activities, generating accurate reports, providing support and training to program teams and staff to enhance logistics services quality, and overseeing the budget to maximize cost-efficiency. Additional responsibilities include adaptability to perform various duties as required, responding to emergencies under supervisory guidance, and supporting fleet management by coordinating with vendors and team members.
∎ Roles & Responsibilities:
∎ ● Logistics and Planning: Facilitate all logistics activities, both medical and non-medical, to ensure their efficient and timely execution.
∎ ● Procurement and Sourcing: Direct procurement processes in line with the plan, maintaining a real-time updated database for enhanced transparency and efficiency. Sourcing reliable and authentic suppliers. Collaboration and coordination of the movement of goods efficiently with the suppliers and program for the delivery process, sample check issues, and negotiation role for any unavoidable circumstances.
∎ ● Vendor Relationship Management: Maintain regular communication with vendors, keep vendor lists current, and oversee contract management.
∎ ● Market Research: Perform local market surveys to stay informed about product availability and pricing. Analyzing market trends, Band items from govt. Authorities, Be aware of Medicine and medical commodities quality with potentiality according to manufacturer quality and keep it informed to the individual program to avoid unavailability during decision making.
∎ ● Supply Chain Optimization: Identify and implement strategies to boost the supply chain's efficiency and organization.
∎ - Field Logistics and Office engagement: Managing Cox's Bazar office logistics and support program team for receiving products from suppliers and transportation. Support and collaborate with the program team about any kind of service needed in the Field Office and the camp office, including Generator maintenance and repair.
∎ - Quality Assurance and Compliance: Uphold the quality of materials and services to meet set standards and ensure adherence to GH/CPI policies and local regulations, particularly in the disposal of medical supplies. Attention to purchasing Cold chain items and inform the receiver to ensure a safe and complete process.
∎ - Documentation and Reporting: Keep precise records of all logistics activities, both in digital and paper formats, and produce clear, concise reports on these activities. Updating Logistics package database regularly with realistic time and reference number of purchase requests. Prepare RFQ, Competitive Bid Analysis, Purchase order, and Archive file for individual procurement and coordinate with the finance team to organize all procurement files as per Finance requirements.
∎ - Support and Training for Teams: Provide logistical support and training to program teams, aimed at enhancing the quality of logistics services and coordination.
∎ - Financial Management and Cost Control: Monitor and report on procurement costs, ensuring timely communication with relevant personnel and seeking ways to maximize cost-efficiency in delivery and procurement.
∎ - Flexibility and Emergency Response: Remain adaptable to undertake additional tasks as needed and respond promptly to urgent procurement and logistics needs under supervision.
∎ - Fleet Management Assistance: Support the Logistics Coordinator in fleet management, including coordinating with vendors, creating rosters, and engaging with team members, all while adhering to established policies and procedures. Prepare Monthly Vehicles log sheet and relevant documents for monthly bill submission. Support for Ensuring the fleet operation smoothly and cost-effectively and report any issues instantly to the Logistics Coordinator.
