Job Responsibilities:
∎ GH-CPI is looking for an experienced Logistics Coordinator (LC) to manage all aspects of logistics throughout our supply chain. LC will be responsible for organizing and providing efficient transportation and storage solutions for the Cox's Bazar office and manage the entire lifecycle of our stock, from the acquisition of raw materials to final stock distribution. LC will manage the Logistics Department inclusive of Fleet Management and is responsible for the overall planning, organizing, supervising the implementation, and reporting of all logistics activities based on organizational and program needs.
∎ PROCUREMENT:
∎ Ensure the sourcing, procurement and delivery of materials/goods and services as appropriate in a timely and cost-effective manner.
∎ Facilitate the procurement process and supervising/obtaining quotations, preparing comparative bid analysis and purchase recommendations and, when authorized, purchase appropriate supplies and organize delivery.
∎ Manage and supervise all procurement contracts for goods and services. Maintain records and track performance for all procurement/vendor contracts.
∎ Ensure that an efficient and up-to-date asset and material tracking system is in place for all procurement and distributions.
∎ Identify and maintain accurate supplier/vendor information for regularly purchased items: keep informed of local market conditions, establish and maintain good working relations with suppliers/vendors.
∎ Liaise with the Departments, on procurement and material supply issues as required.
∎ COORDINATION:
∎ Addressing and resolving shipment and inventory issues, liaising and negotiating with suppliers/vendors and retailers and reporting back and updating programs and SMT regularly.
∎ Oversee logistics-related activities including vendor engagement/ enlistment, procurement process, supply chain, assets, warehouse, and ensure their security in accordance with policies and procedures.
∎ Organize regular Competitive Bid Analysis meetings with cross-department leads.
∎ Responsible for the management of the organization's vehicle fleet, provide input in the development of Fleet management and policy, and standard operating procedures, maintain fleet database/ reconcile fuel consumption and support program teams as required.
∎ Provides technical support in warehousing to other departments as needed.
∎ STRATEGY:
∎ Support Programs in identification and development of logistics components within program plans. Advise and validate the technical logistics and supply chain elements of program plans.
∎ Develop, implement, and manage the overall logistics Plan of Action, including all appropriate procurement and supply chain strategies to meet the program plan, objectives and requirements of the organization.
∎ HUMAN RESOURCE:
∎ LC will be responsible for the line management of specified logistics staff in accordance with related HR policies and procedures, including recruitment and performance management.
∎ Ensure that the logistics department is staffed to adequately support by anticipating the need for increase/ reduction of staff, recruiting appropriate staff nationally, and ensuring that all logistics staff is adequately trained.
∎ Raising HR concerns for the Logistics Department as they arise and provide effective solutions and direction on mitigation of concerns to management.
∎ PROPERTY AND EQUIPMENT:
∎ Ensures that GH-CPI property, including fleet, means of communication, and other equipment are purchased, used, replaced, and disposed of, and documented in accordance with GH-CPI policies and procedures.
∎ Manage third party IT solutions and vendors for Cox's Bazar office/staff.
∎ Continuously monitor and analyze the security context in regards to fleet management/ in context of road block/protest/ weather condition and any other security concerns.
∎ Warehouse security /incident/ lost/ theft management.
∎ REGULAR RESPONSIBILITIES:
∎ Provide planning support, advice, and updates to those making procurement requests, manage procurement processes in accordance with GH-CPI policies and procedures, in a transparent, accountable, efficient, and cost-effective manner.
∎ Ensure that local market surveys are regularly carried out, to ensure full knowledge of the availability and price of local items.
∎ Ensure all procurements are tracked and recorded to identify items that should be part of a pre-approved tender process, and ensure that open and free competition for procurements is adhered to.
∎ Proactively coordinate and direct the management and tracking of all medical and non-medical supplies, equipment, material, through receipts, storage, and onward distribution and coordination to storage/warehouse with all supporting documents.
∎ Follow standard warehouse practices and record-keeping to full audit trail standard;
∎ Ensure the correct storage, rotation of stock, and proper structural maintenance of warehouse(s) to keep all stocks in good condition;
∎ Generate accurate, clear and concise reports and if necessary attend management and audit meetings to provide clarifications and pertinent evidence.
∎ Overseeing all supply chain operations, organizing and managing inventory, storage, and transportation. Reviewing, preparing, and routing purchase orders.
∎ Analyzing and optimizing logistical procedures.
∎ Ensuring safe and timely pick-up and delivery of shipments, monitoring shipments, costs, timelines, and productivity.
∎ Provide technical oversight, input, and supervision to coordinate support to, delivery of, and implementation of, all logistics support systems according to GH-CPI Logistics policies and procedures.
∎ Manage day to day, overall fleet management of CXB Office.
∎ REPORTING:
∎ Prepare monthly/ quarterly/ yearly inventory/ overstock/ expiry/ balances reports.
∎ Organize and monitor reporting of regular and emergency logistics activities, stocks, in-kind donations, transport, equipment, communications and warehouse & fleet safety and security.
∎ Logistics cost reports/ transportation reports.
∎ REPRESENTATION:
∎ Represent the Logistics Department internally in cross-department coordination, meetings, and activities.
∎ Represent the organization in the Logistics Sector, workshops, training as required.
∎ Represent the organization in forums, amongst partners, authorities and different local actors involved in the logistics fields.

Additional Requirements:
∎ Age at least 30 years
∎ Minimum 5 years of evidence-based practical experience in supply chain magement.
∎ Minimum 2 years of experience in fleet management.
∎ Experience working with INGO/NGO's in Cox's Bazar.
∎ Experience working with local markets and vendors.
∎ Substantial experience in team management.
∎ Substantial experience in managing fleet/transportation.
∎ ESSENTIAL SKILLS:
∎ Ability to to work well under pressure, prioritize multiple tasks, meet deadlines, maintain focus, and be detail oriented.
∎ Solid communication skills, both written and verbal, Bangla and English.
∎ A genuine sense of urgency and a "can do" attitude.
∎ Quick critical thinking and problem-solving abilities.
∎ The ability to be self-motivated and work independently, but also work effectively within a team environment.
∎ Flexible approach to managing and prioritizing a high workload and multiple tasks with tight deadlines.
∎ Ability to work with and support cross functional teams seamlessly.
∎ Advanced data analysis and data visualization skills.
∎ Expert in inventory management and warehousing.
∎ Ability to use computers, software and other technology for inventory and communication purposes.
∎ Excellent client relations skills/ Strong interpersonal and intercultural skills.
∎ Capacity of negotiations with suppliers and authorities.
∎ Good capacity building and team follow up skills.
∎ Good collaboration and teamwork abilities
∎ Good organizational and coordination skills.
∎ Advance skills in MS office pack, including Excel.
∎ Advance skills in G-SUITE/DRIVE.

Salary: Tk. 70000 - 90000 (Monthly)
