Job Context:
∎ Mission: Under the chain of Logistics department (from capital level) the Logistics Assistant-GS will assist Logistics tasks on daily basis and assigned job in coordination with Site Logistics Officer- Kurigram and Project`s Staff at Kurigram level for the smooth-running of the programme in compliance with Handicap International`s internal regulations.
∎ Base location: Kurigram
∎ Report to: Site Logistics Officer
∎ Contract Duration: 1 year (with possibility of extension).
Job Responsibilities:
∎ Ensure smooth Logistics General Services to site office for
∎ Equipment, Inventory and Maintenance management,
∎ Transport/Fleet management
∎ Facility services.
∎ Equipment, Inventory & Maintenance management:
∎ Controlling all site office assets and equipment.
∎ Update and archiving files for new purchase, repair/maintenance work.
∎ Ensure Assets and property insurance for Kurigram with coordination of Site Log officer and Programme Log manager as per HI guideline.
∎ Perform as required to keep updates the office furniture & supplies,
∎ Stock management for Kurigram office
∎ Small stationery ensure to office staff as per SRO
∎ Ensure maintenance of all equipment including vehicle/motorbikes
∎ Physical count, keep updates and tagging furniture and equipment.
∎ Prepare the gate pass/waybill for in and out against servicing and maintenance of the HI property/assets/ equipment. Keep the record properly.
∎ Report monthly basis of Equipment monitoring Chart and Stock monitoring chart.
∎ Transport/Fleet management:
∎ Arrange Rental car for project team and visitors based on valid Request.
∎ Monitor the movement of cars, passengers, motorbike and riders.
∎ Ensure HI vehicle policy and safety security policy implementation at field
∎ Log sheet check and updates for Motorbikes and Rental car regular basis
∎ Check bills for Rental car and report to Site Log Officer and budget manager for finalization/validation.
∎ Ensure Motorbike fuel, servicing on time as per HI Service schedule, keep update the renewal of vehicle papers.
∎ Update files regular daily basis and Report Vehicle Monitoring Chart, Rental car monitoring chart monthly basis.
∎ Facility management:
∎ Facilitate and manage IT service related work with local supplier and coordination with Dhaka country office Logistics team.
∎ Check and ensure the maintenance of HI premises and facilities, as well as the general water supply, electrical, gas refile, printing papers and other utilities.
∎ Generator manage and maintenance regular basis.
∎ Ensure generator fuel regular basis and monthly basis fuel stock
∎ Security Guards management, monitor performance and duty roster.
∎ Report monthly basis of Generator, Utilities, security guards t Line manager, FC and Programme Logistics Manager at Dhaka.
∎ Others regular job:
∎ Archive documents as per HI policy both scan and hard copy and Tag properly
∎ Logistics support to the project seminars and training
∎ Receive and check the supplier's delivery slip based on the Purchase Order, prepares the reception form if need and Internal delivery note when required.
∎ Prepare Commitment Authorization when required.
∎ Regular basis update monitoring tools and report to line manager, FC and Programme Logistics Manager at Dhaka country office.
∎ Prepare incident report in case of any incident for Logistics issues.
∎ Perform as backup supply person in absence of Site Log officer.
∎ Coordinate with Project team, Finance and Fc at field level for regular activities.
∎ Any other tasks as assigned by Line manager.
Additional Requirements:
∎ Minimum 3 years in Logistics /Administration in relevant field.
∎ Communication Able to autonomous
∎ English Fluent in written and verbal
∎ Computer skills: Must be excellent in; MS Excel, Word, PowerPoint, E-mail communication.
∎ Organizational skills: Ability to organize and provide prompt and timely supports, Hardworking,
∎ Able to take the challenges in any situation with positive approach, Able to adapt the policy procedures quickly
∎ Professionally candidate must be decent, honest and loyal, willing to travel anywhere in Bangladesh when required.
∎ Candidates must be capable of displaying great learning agility, support and encourage knowledge sharing across team.
