∎ University degrees (Bachelors) required. Masters, BBA and MBA (relevant majors) are preferred.
∎ Certification of Logistics/SCM/Procurement will have advantage.

∎ At least 1 year(s)
Job Context:
∎ Contract period: 1 June 2021 to 31 December 2021 (with possibility of extension)
∎ Line Manager: Procurement and Logistic Officer
∎ Staff Manages: Drivers and Security Guards from vendor/third party.
∎ Location: Rohingya Refugee Program, Cox`s Bazar, Bangladesh
∎ Overall purposes of the role:
∎ The Logistics Assistant is responsible for assisting in all procurement and logistics related activities in support of the location/office where s/he is based. The Logistics Assistant ensures all DCA, donor policies and procedures are always followed and adhered to.
Job Responsibilities:
∎ Fleet management:
∎ Draw up the vehicle schedule in close collaboration with program team and finance to ensure donor budget reflection.
∎ Ensure that a complete breakdown kit is available on board all vehicles.
∎ Check that vehicle logbooks are in place and are used properly.
∎ Assist in monitoring and consolidating fuel consumption and miles travelled for all vehicles.
∎ Monitor the administrative documents for all vehicles.
∎ Ensure the vehicle checklist is properly maintained and recorded.
∎ Ensure vehicle is checked before deployed and drivers are well oriented about DCA norms, driving rules and security policy, and take initiative in coordination with DCA security focal person.
∎ Ensure monthly bills are submitted and checked as per vehicle logbook.
∎ Facility management:
∎ Supervise the watchmen in the office premises.
∎ Ensure all facilities (internet, electricity, water, etc.) are available in the office.
∎ Ensure drinking water supply in the office.
∎ Ensure first aid box is present in all location.
∎ Ensure fire extinguisher is present in all location and in working order.
∎ Support provision - Provide support to all guests' arrival and departures.
∎ Monthly Reporting - Provide data and reports as requested by the DCA Procurement and logistics officer.
∎ Participate in meetings where relevant.
∎ Strictly follow all safety procedures.
∎ Stock management:
∎ Maintain stock of the available materials.
∎ Ensure the stock is updated on regular basis and submit the report to supervisor on weekly basis.
∎ Check with Admin assistant the availability of materials in the stock before procurement.
∎ Ensure proper documentation while providing materials to the new staff and collecting from the staff leaving.
∎ Ensure and maintain proper documentation of received and dispatched goods of donors and partners.
∎ Carry out stock checks and physical inventories and documentation with admin assistant on regular basis.
∎ Advise timely to the supervisor if any materials must be disposed of from the DCA records.
∎ Supervise timely delivery of materials in the field.
∎ Generator management:
∎ Management of all power generation in his/her area of responsibility.
∎ Organize training to the assigned user of generator.
∎ Monitor log sheet for generator usages.
∎ Ensure availability of sufficient fuel for generator.
∎ Ensure periodical maintenance of generator in collaboration with landowner.
∎ Asset management:
∎ Ensure all the DCA assets are labelled with the assets number.
∎ Ensure asset inventory done twice a year.
∎ Maintain proper filing of asset handover and takeover.
∎ Update asset in the ERP system as and when required and in excel.
∎ Procurement:
∎ Take part in the analysis of the local purchasing environment.
∎ Update price lists and vendor data base.
∎ Receive and process requests for quotes and PRFs after verification and approval by respective department heads
∎ Implement purchases while respecting the rules and approval procedures established by donors and DCA.
∎ Negotiate prices, deadlines, and methods of delivery.
∎ Ensure that products purchased in terms of quantity and quality.
∎ Establish and archive purchasing files in accordance with the rules of DCA and its donors.
∎ Update procurement information into the soft copy of the procurement tracker.
∎ Assist Procurement and logistic officer in preparing the procurement plan
∎ Submit the bills to the finance maintaining all process and approvals from concern department.
∎ Additional Tasks:
∎ On request perform any other additional duties assigned by the supervisor(s) to allow the organization to function optimally.

Additional Requirements:
∎ At least 1 year experience of Logistics/SCM/Procurement, preferably in humanitarian emergency and/or development context.
∎ Experience with people management (vendor/third party) will get preference.
∎ Working experience with relevant donors (e.g., UNICEF, UNWOMEN, UNFPA, UNHCR, ECHO, DANIDA, DFID, etc.) will get preference.
∎ Advanced proficiency in Excel as well as experience of working in IT systems (hardware and software).
∎ Fluency in both Bangla and English.
