• Essential Bachelor’s degree in HRM, Law, Management, Business Administration, or a related field.

• Essential previous working experience of at least two years in relevant jobs.

• Desirable experience in MSF or other NGOs in developing countries.

• English and Bangla Language are essential

• Chittagongian Dialect desirable

• Essential: computer literacy (word, excel, internet)



Responsibilities & Context:

• Under supervision of the Project LogFinHR Manager, managing personal files in order to ensure accuracy, compliance and on time payments.

• Updating the HR database and personal files to facilitate HR processes management.

• Updating Social security & Tax office files in order to meet legal requirements including specific amendments when necessary in order to ensure local labour and fiscal law compliance

• Preparing employment contracts in conformity with legal requirements including specific amendments, when necessary, in order to ensure local labour and fiscal law compliance.

• Preparing monthly pay slips for all staff, editing and updating the necessary data, in order to ensure the punctuality and accuracy of staff payroll.

• Following up of all expiring rental contract dates and inform the Administration Manager in order to leave enough time to arrange a renewal or look for some other alternative

• Making all administrative information available to the staff (posting, meetings, etc.), supporting the Project HR Manager in translating documents into the local language and assisting in meetings upon request.

• Additional HR/ Admin tasks delegated by the Project LogFinHR Manager

• Responsible for all the payroll compliance such as tax, investment declaration etc.

• Prepare income tax certificates and copies of challans for distribution to staff.

• In close cooperation with counterpart HR Assistant, keep staff file as per MSF standard check list.

• Upon the HRCo and finance audit referent, generate and prepare all necessary HR reports for NGO registration and audit reporting for national staff.

• Organize regular national staff meetings in consultation with the PC and HR Manager, as required.

• Support line managers in following roster management guidelines as formulated by the Coordination office.

• Provide monthly reports to department supervisors on performance evaluations, training, contracts, and leave tracking.

• Conduct staff orientation/induction for all new staff on human resource administration, policies, and procedures.

• Ensure all L&D/training-related information is encoded and updated in HOMERE monthly and share the training reports with training officer

• Manage MSF visibility items according to MSF property policy in the absence of the Office Assistant.

• Supervise Cleaners/Cooks and prepare their monthly duty rosters (if applicable).

• Manage guesthouse allocation (in/outs), necessary infomration communicated to the new arrivals/vistors about it; conduct routine spot checks of cleanliness of the house/rooms, ensure clear distribution of cleaning tasks among the Cleaners, verify the readiness of rooms for guests, and check the availability of sufficient food items.

• Support the recruitment process by preparing vacancy announcements (get approval from PAM), conducting candidate longlisting, and assisting with translations during recruitment and disciplinary procedures

• Keep track of the daily workers pool and ensure timely delivery of administrative documents to the finance department for payment.

• Oversee office maintenance and canteen operations, and manage monthly stationery and other routine supply requests.

• Cover the gap of FIN Assistant as and when required.



Job Other Benifits:

    Permanent Contract. Salary according to level Six (6) of the internal MSF salary grid (BDT 68000). Salary is not negotiable. Income tax deduction from salary based on current income tax rule. 2 annual leave days per month worked. Medical insurance for employee and direct dependents based on Health Care Policy- Locally Recruited Staff.

    There is no provisions for relocation. 2 Festival Bonuses after completion of one year of uninterrupted continuous service.
