Job Context:
∎ HI has been working in Bangladesh since 1997, with a focus on creating sustainable changes in terms of ensuring the rights and inclusion of people with disabilities in society. HI is an independent and impartial aid organization working in situations of poverty, exclusion, conflict, and disaster throughout Bangladesh. With projects in different districts of the country, HI works not only with people with disabilities and other vulnerable populations, but also with their families, their communities, and local humanitarian actors in order to respond to their essential needs, improve their living conditions, promote respect for their dignity and fundamental rights, and provide sustainability in its action. As one of the key organizations in the disability sector, HI has a wide range of projects which assist to promote the inclusion of persons with disabilities and their issues in emergency and development contexts, building capacities of local stakeholders, and reducing the impact of natural and human-made disasters. Particularly in Cox`s Bazar district, HI is providing services in rehabilitation, MH/PSS, SRH, protection and inclusive education with an inclusion mainstreaming approach to refugees and host population affected by the forcibly displaced undocumented Myanmar nationals. HI`s multi-sectoral mobile units (MU) and static approach are currently working in 15 camps located in both Teknaf and Ukhiya Upazilas and surrounding host areas providing comprehensive services in physical rehabilitation, primary health care, protection, and MH/PSS.
∎ HI is currently implementing development and humanitarian response project in Kurigram, Sitakindu, and Cox`s Bazar district through 4 project offices (Kurigram, Sitakundu, Ukhiya, and Teknaf) and 2 coordination offices( Dhaka and Cox Bazar).
∎ Operational Thematic: Livelihood, Health and Rehabilitation, Protection, Inclusion, Education and Atlas Logistic
∎ Number of staffs: Around 292 National staff and 08 international staff
∎ HI is currently looking for a General Service Officer. The GS officer shall be enthusiastic Logistics professionals to the Logistics department at Bangladesh Mission to provide support to help achieve HI goals. He/she will have administrative duties in developing and implementing Logistics strategies. He/she will collaborate with our logistics team in all stages of ensuring compliance. His/her insightful contribution will help develop, expand and maintain our logistics channels. This employment engagement will help him/her acquire logistics skills and provide with knowledge of various logistics strategies. Ultimately, he/she will gain broad experience in logistics and should be prepared to enter any fast-paced work environment.
∎ Under the supervision of the Country Logistics Manager, the General Service officer will ensure Logistics tasks on daily basis and assign jobs in coordination with the logistics team at Dhaka and site offices for smooth-running of the program`s activities in compliance with Handicap International`s internal regulations.
∎ Job Location: Dhaka (with field visit as when required)

Job Responsibilities:
∎ Major Responsibilities:
∎ Ensure smooth Logistics General Services to the country office for-
∎ Equipment, Inventory, and Maintenance management
∎ Transport/Fleet Management and Travel
∎ Facility services
∎ Equipment, Inventory & Maintenance management:
∎ Controlling all office assets and equipment by updating regular movement status in EMC and General Items monitoring tools.
∎ Update and archive files for the new purchase, repair/maintenance work in the equipment card.
∎ Ensure Assets and property insurance for Dhaka and site office with coordination of Site Log/GS officers and concern with Log manager as per HI guideline.
∎ Perform as required to keep updates the office furniture & supplies,
∎ Ensure maintenance of all equipment including vehicle/motorbikes
∎ Physical count, keep updates, and tag furniture and equipment.
∎ Prepare the gate pass/waybill for in and out against servicing and maintenance of the HI property/assets/equipment. Keep the record properly.
∎ Report monthly basis of Equipment monitoring Chart (EMC) and General Items monitoring chart.
∎ Ensure lending and other certificates as when required for Dhaka and site offices and record to the file.
∎ Maintain pool items proper tracking and maintenance
∎ Warranty information follow-up with assets.
∎ The disposal process works as when required per HI policy.
∎ Transport/Fleet and Travel management:
∎ Arrange Rental car for project team and visitors based on valid Request.
∎ Monitor the movement of cars, passengers, motorbikes, and riders.
∎ Ensure HI vehicle policy and safety security policy implementation at field
∎ Log sheet check and updates for HI Vehicles and Rental car regular basis
∎ Check bills for Rental car and report to Country Log Manager and budget manager for finalization/validation.
∎ Ensure Vehicle fuel, servicing on time as per HI Service schedule, keep updating the renewal of vehicle papers.
∎ Hotel Booking following TR and framework with concerning PLM or Supply chain officer
∎ All kinds of Ticket purchase following TR with concerning PLM or Supply chain officer
∎ Update files regular daily basis and Report Vehicle Monitoring charts, Rental car monitoring charts monthly basis.
∎ Facility management:
∎ With the support of a General Service Assistant to manage-
∎ Facilitate and manage IT service-related work with the local supplier and concern with PLM and IT service provider for any issues.
∎ Check and ensure the maintenance of HI office and Expat houses; as well as the general water supply, electrical, gas refile, printing papers, and other utilities.
∎ Generator management and maintenance regular basis.
∎ Ensure generator fuel regular basis and monthly basis fuel stock
∎ Security Guards management, monitoring performance, and duty roster.
∎ Report monthly basis status of Generator, Utilities, and security guards to Country Logistics Manager at Dhaka.
∎ Key Management of office, houses, desk, and shelves.
∎ Mobile phone management and ensure to the visitors as per guideline.
∎ Other regular jobs:
∎ Archive documents as per HI policy both scan and hard copy and Tag properly
∎ Receive and check the supplier's delivery slip based on the Purchase Order, prepare the reception form if need and Internal delivery note when required.
∎ Prepare Commitment Authorization when required.
∎ Regular basis update monitoring tools and report to Country Logistics Manager at country office.
∎ Prepare an incident report in case of any incident for Logistics issues.
∎ To ensure cost-effectiveness and reliability of support to HI projects.
∎ Implement and maintain logistics management policies, systems, and procedures.
∎ Assist to input general service-related costing in the budget and monitoring the costing against the approved budget.
∎ Coordinate with Project team, Finance, and field-level for regular activities.
∎ Any other tasks as assigned by the Line manager.

Additional Requirements:
∎ Age at least 25 years
∎ Minimum 2 years in Logistics /Administration in relevant field
∎ Fluent in written and verbal both in Bengali and English
∎ Must be excellent in MS Excel, Word & E-mail communication.
∎ Ability to organize and provide prompt and timely supports and Hardworking
∎ Able to take the challenges in any situation with a positive approach, able to adapt the policy procedures quickly
∎ Professionally candidates must be decent, honest, and loyal, willing to travel anywhere in Bangladesh when required.
∎ The GS Officer must be capable of displaying great learning agility, support, and encouraging knowledge sharing across the team.
∎ Professional Skills:
∎ He/she must have skills in Maintenance, Safety, Driving, Mechanics, Planning, Procurement, Transport management, etc.
∎ The person must possess Emergency preparedness and response skills
∎ He/she must know the Financial and budget management, Donor management, Program management (Planning, monitoring, and coordination)
∎ Ability to work under pressure, stress management, and collaborate in a global organization
