Responsibilities & Context:

The Front Desk Officer is responsible for managing the reception area, providing excellent customer service, and supporting administrative operations. The role ensures smooth front-office operations by managing reception duties, coordinating communication, and providing administrative support to various departments within the organization.

Key Assignments/ Duties:

Reception & Customer Service

  • Greet and receive visitors, customers, and vendors in a professional and courteous manner.

  • Efficiently manage all incoming phone calls, emails, and inquiries, ensuring they are accurately and promptly directed to the appropriate departments.

  • Maintain a well-organized, clean, and presentable reception area that reflects the company’s corporate standards.

 Front Office Administration

  • Maintain and manage visitor logs and appointment schedules efficiently.

  • Oversee incoming mail and receive documents via courier, ensuring timely distribution to the relevant departments for smooth office operations.

  • Notify staff of visitor arrivals and maintain accurate sign-in/out records

 Coordination & Support

  • Communicate with internal departments to ensure smooth information flow.

  • Assist Admin and HR teams with routine office tasks when required.

  • Support office operations by monitoring and reporting office supply needs.

 Compliance & Security

  • Ensure all visitors follow company security protocols and sign-in procedures.

  • Coordinate issuance of visitor passes and inform relevant staff of arrivals.
