Responsibilities & Context:
  • Warmly welcome and assist visitors, clients, and guests upon arrival.

  • Maintain a clean, organized, and professional reception area.

  • Answer, screen, and forward incoming phone calls in a courteous manner.

  • Coordinate and schedule meetings, appointments, and conference rooms.

  • Maintain records of visitors and issue visitor badges as needed.

  • Respond to general inquiries in person, over the phone, or via email.

  • Receive, sort, and distribute daily mail, deliveries, and couriers.

  • Assist with administrative tasks such as data entry, filing, and office supply inventory.

  • Handle sensitive information with discretion and confidentiality.

  • Communicate effectively with internal teams and provide necessary support.

  • Provide basic information about company services or direct clients to the appropriate department.

  • Keep track of office inventory and place orders when necessary.

  • Monitor access control, ensure visitor logs are maintained, and follow security protocols.

  • Help in booking transportation, hotels, or meeting logistics for staff or guests.

  • Maintain and update employee directories and contact lists.

  • Assist in organizing company meetings, training sessions, or events as needed.

  • Listen to visitor or client concerns and escalate issues to the appropriate department.

  • Help Admin with tasks like onboarding support, issuing forms, or collecting documents.

  • Use and maintain printers, copiers, scanners, and other front-desk tools.

  • Prepare simple reports or logs such as visitor records, call logs, or appointment summaries.
