Responsibilities & Context:

Key Responsibilities:

  1. Manage and maintain the daily schedule, appointments, meetings, and official calendar of the Managing Director / Management authority.

  2. Receive, screen, and respond to phone calls, emails, letters, and official correspondence professionally.

  3. Prepare official letters, notices, reports, meeting minutes, memos, presentations, and other administrative documents.

  4. Maintain confidential files, employee records, hospital documents, and important correspondence with proper documentation and filing systems.

  5. Coordinate communication between hospital departments, doctors, consultants, staff, patients, and external organizations.

  6. Arrange meetings, conferences, interviews, and official events including venue preparation and follow-up activities.

  7. Ensure proper management of office supplies, stationery, and administrative logistics.

  8. Handle incoming and outgoing documents, courier services, and official emails in a timely manner.

  9. Maintain professionalism and confidentiality regarding hospital operations, patient information, financial matters, and management decisions.

  10. Assist management in monitoring departmental activities and following up on pending tasks and official instructions.

  11. Prepare travel schedules, reservations, and administrative arrangements for management when required.

  12. Support HR and administration department activities including attendance records, employee communication, and internal coordination.

  13. Maintain digital and physical records systematically for easy retrieval and audit purposes.

  14. Draft and process internal notices, circulars, agreements, and official documentation as directed by management.

  15. Coordinate with vendors, suppliers, and service providers regarding administrative requirements.

  16. Assist in preparing monthly reports, presentations, and operational summaries for management review.

  17. Ensure proper reception etiquette for visitors, guests, consultants, and stakeholders of the hospital.

  18. Operate office software including MS Word, Excel, PowerPoint, email communication, and hospital management software efficiently.

  19. Perform any additional administrative, secretarial, or coordination duties assigned by hospital management from time to time.
