Responsibilities & Context:
∎ Procurement of Goods and services.
∎ Procurement Data record keeping and reporting.
∎ Collaboration with internal and external stakeholders or sectors/CSUs.
∎ Receive Purchase Requisitions (PRs) and Review to verify accuracy, terminology, and specifications of goods.
∎ Purchasing goods/services from enlisted vendors and open competitive marketing as per Friendship Procurement policies and procedures.
∎ Assist to requester to drafting Purchase requisitions (PR), clarify products specifications for effective Purchasing.
∎ Collecting quotation or price proposal from enlisted vendors and open competitive markets, analyzing BID’s summary for procurement committee approval.
∎ Prepare purchase orders and send copies to suppliers and to the respective departments.
∎ Keeps the Procurement data as per Friendship Procurement policy and Procedures for future audit purpose.
∎ Compare supplier’s bills with bids and purchase orders to verify accuracy. And forward these documents to Finance office for payment.
∎ Maintain invoice database and assist Head of Department in data analysis and reporting.
∎ Checking shipments when they arrive to ensure that orders have been filled correctly and that goods meet specifications.
∎ Maintain an up-to-date knowledge and understanding of procurement legislation and best practice and develop new and innovative approaches.
∎ Develop and maintain effective external relationships and partnerships which help promote the organization and provide opportunities for the benefit of the organization.
∎ Any others task assigned by supervisor/Management
∎ Graduate with 3 years of working experience in purchase department.
∎ Additional Job Requirements:
∎ Good communicative skill in English
∎ MS Office
∎ Email communications.
∎ Able to work under pressure.
