  • Proven ability to supervise and manage an Administration Team.

  • Good knowledge of corporate office administration.

  • Strong communication, coordination and negotiation skills.

  • Good knowledge of documentation, contracts and official correspondence.

  • Ability to deal professionally with vendors and external stakeholders.

  • Strong problem-solving and decision-making ability.

  • Good command of Bangla and English.

  • Proficiency in MS Office and administrative reporting.

  • Mature, responsible, disciplined and well-groomed personality.

  • Ability to work independently and handle multiple administrative responsibilities under pressure.



Responsibilities & Context:

We are looking for a competent and experienced Female Administration Professional to manage and supervise the overall administrative operations of our organization. The position will be responsible for ensuring smooth, disciplined and efficient office operations, facility management, logistics, transportation, security, vendor coordination, documentation and other administrative functions.

Key Responsibilities:

  • Overall Administration

    - Supervise and coordinate the day-to-day activities of the Administration Unit.

    - Ensure smooth and uninterrupted operation of the corporate office and other assigned facilities.

    - Develop and implement administrative procedures, guidelines and internal controls.

    - Maintain administrative discipline and ensure compliance with company policies.

    - Prepare regular administrative reports and updates for Management.

  • Office & Facility Management

    - Supervise office maintenance, housekeeping, cleanliness, utilities and general facilities.

    - Coordinate repair and maintenance of office premises, furniture, fixtures, electrical, plumbing, AC and other facilities.

    - Ensure proper office arrangement, seating, meeting rooms and common facilities.

    - Coordinate with building management, landlords and relevant service providers.

    - Ensure proper management of office access, keys and other administrative facilities.

  • Vehicle & Transportation Management

    - Supervise company vehicles and transportation facilities.

    - Monitor vehicle allocation, requisitions, fuel, maintenance, fitness, insurance, tax token and related documentation.

    - Coordinate drivers and ensure proper utilization of company vehicles.

    - Maintain vehicle-related records and control unnecessary expenses.

  • Security & Safety

    - Supervise office security personnel and security-related activities.

    - Ensure proper visitor management and access control.

    - Coordinate with security agencies/building authorities when required.

    - Take necessary administrative measures regarding workplace safety and emergency situations.

  • Vendor & Service Provider Management

    - Coordinate and maintain professional relationships with vendors, suppliers and service providers.

    - Obtain quotations and support comparative analysis for administrative purchases and services.

    - Monitor service quality, contractual obligations and timely delivery.

    - Ensure proper documentation of vendor agreements, bills and service records.

  • Procurement & Inventory Support

    - Coordinate procurement of office stationery, furniture, equipment, uniforms and other administrative requirements.

    - Maintain proper records of administrative purchases and supplies.

    - Monitor office inventory and ensure timely replenishment.

    - Coordinate with Finance/Accounts regarding administrative bills and payments.

  • Asset Management

    - Maintain records of company assets, office equipment, furniture and other administrative properties.

    - Conduct periodic physical verification of assets.

    - Ensure proper handover/taking-over documentation for company assets.

    - Report loss, damage or misuse of company assets to Management.

  • Legal & Compliance Support

    - Assist Management in administrative legal documentation, agreements, notices and correspondence.

    - Coordinate with Legal/Compliance professionals when required.

    - Coordinate necessary permits, licenses, renewals and other administrative formalities.

    - Maintain proper records of official communications and documents.

    - Maintain confidentiality of sensitive organizational and administrative documents.

    - Ensure administrative activities are conducted in accordance with applicable rules and company policies.

  • Employee Administrative Support

    - Coordinate employee-related administrative facilities and requirements.

    - Support joining, transfer, separation and other employee movement-related administrative formalities.

    - Coordinate ID cards, access facilities, seating arrangements and other administrative support.

    - Maintain proper coordination between Administration, HR, Finance and other business units.

  • Meetings, Events & Corporate Activities

    - Arrange meeting rooms, refreshments, logistics and other facilities for Management meetings.

    - Provide administrative support for conferences, training programs, corporate events and official programs.

    - Coordinate venue, transportation, accommodation and other logistical requirements when necessary.

  • Documentation & Reporting

    - Maintain proper administrative files, registers, contracts, agreements and records.

    - Prepare administrative statements, reports, schedules and management updates.

    - Ensure systematic filing and preservation of important administrative documents.

    - Maintain confidentiality of all sensitive information.
