Responsibilities & Context:
∎ Order Entry & Customer Setup: Accurately process sales orders and set up customer accounts within the ERP system, ensuring data integrity and seamless transactions.
∎ ERP & Sales Operations: Manage sales order entries, maintain customer records, and generate reports to support business insights.
∎ Sales Invoicing: Create and oversee sales invoices for completed orders, ensuring accuracy and compliance.
∎ Export Documentation: Prepare and verify export documents, including invoices, packing lists, LCs, transport documents, COO, EXP forms, and SAFTA (EPB), ensuring compliance with international trade regulations.
∎ Systems & Analytics: Utilize Power BI and CRM tools for data tracking, customer interaction management, and reporting.
∎ Transaction Certificates: Support the management of outbound GRS certificates, ensuring compliance with sustainability standards.
∎ Customer Request & Order Management: Ensure timely and accurate delivery of goods, proactively addressing and resolving any delivery-related issues.
∎ Sample Order Processing: Handle and track sample orders and their timely deliveries.
∎ Export Coordination: Collaborate with C&F agents in India & to review export documentation and ensure on-time, accurate shipment processes.
∎ Reporting & Inventory Analysis: Assist in generating weekly and monthly sales reports while analyzing inventory levels for optimal stock management.
∎ Key Account Support: Provide essential assistance to Key Account Managers, addressing customer inquiries, tracking orders, and generating reports to enhance customer satisfaction.
∎ Cross-Functional Collaboration: Work closely with Finance, Sales & Marketing, Logistics, Warehouse, and Production teams to ensure a smooth order-to-delivery process.
