The organization is actively expanding its business footprint and requires a versatile HR & Admin Manager to ensure operational stability while supporting workforce growth. Within this operating model, Human Resources and Administration serve as the core backbone connecting operational execution, employee well-being, and organizational governance.
This role operates in a fast-paced environment that requires balancing people-first leadership with structured administrative control. The position carries dual responsibility: driving full-lifecycle recruitment, enforcing labor law compliance, and nurturing employee engagement, while concurrently overseeing facilities, vendor management, health and safety standards, and general day-to-day office operations.
Key Responsibilities
Recruitment Strategy: Lead end-to-end recruitment processes, including job postings, candidate sourcing, screening, interviews, background checks, and offer negotiations across all team levels.
Pipeline Development: Build and maintain active talent pipelines utilizing online job platforms, professional networks, recruitment agencies, and direct sourcing.
Onboarding: Oversee new hire orientation and onboarding workflows to ensure smooth integration into corporate culture, IT systems, and company policies.
Act as the primary point of contact for employee inquiries, grievances, conflict resolution, and policy clarification.
Design and execute employee engagement initiatives, wellness activities, and recognition programs to maintain positive workplace culture and retention.
Conduct workplace investigations when necessary, ensuring objective, fair, and documented outcomes.
Coordinate periodic performance evaluation cycles, goal-setting frameworks, and appraisal systems in alignment with department leaders.
Identify cross-departmental skill gaps and organize targeted internal training sessions or external professional development programs.
Track daily attendance, leave balances, and working hours via attendance management systems to deliver accurate payroll inputs to the finance team.
Maintain complete, updated, and confidential employee files within the HRIS.
Ensure company policies and operations adhere strictly to local employment laws, statutory regulations, and filing deadlines.
Oversee day-to-day office operations, ensuring clean, organized, safe, and functional working environments.
Manage physical infrastructure, desk allocation, space planning, utilities, and general maintenance services.
Ensure functional upkeep of office hardware, security access controls, fire safety systems, and office equipment.
Source, evaluate, negotiate, and manage contracts with external service providers (stationery, IT assets, cleaning teams, security agencies, catering, and maintenance technicians).
Monitor vendor performance against contractual Service Level Agreements (SLAs) and verify invoices prior to finance sign-off.
Office Supply & Inventory Tracking: Maintain a structured tracking system for all office stationery, operational supplies, kitchen inventory, and consumables to prevent shortages or over-stocking.
Admin Expense & Budget Management: Monitor and record day-to-day office expenses, review petty cash for administrative purchases, and control supply budgets to prevent cost overruns.
Vendor & Service Management: Source, negotiate, and audit external vendors (cleaning, security, IT hardware, and catering); verify invoices against deliverables prior to financial sign-off.
Formulate, update, and enforce general administrative SOPs, office protocols, and operational guidelines.
Direct workplace health and safety protocols, including emergency response plans, fire drills, and physical security measures.
