Job Context:
∎ The Coordinator- General Support Services plays a leadership role within Team accountable for ensuring smooth operations of the organization.
∎ This position holder must ensure smooth administrative support as well as security and safety. Procurement will be another key function for the position holder.
Job Responsibilities:
∎ Coordinate support services procedures and systems and devise ways to streamline processes
∎ Ensure that plans of procurement, office support including field offices, safety and security, are in place and operational.
∎ Regularly consult with budget holders and SMT for ensuring procurement of cost efficient and quality goods and services
∎ Ensure that enlisted vendors are reputed and performing with integrity by seeking feedbacks from external peers
∎ Establish regular feedback mechanism with support project leads/budget holders about the performance of vendors and come up with recommendations
∎ Diligently follow pA’s procurement policy and ensure timely procurement of goods and services
∎ Regularly update the asset inventory and ensure timely disposal of assets as per pA’s policy.
∎ Monitor inventory of office supplies and the purchasing of new material with attention to budgetary limits
∎ Oversee facilities services, maintenance activities and tradespersons to keep all electric and electronic equipment and plumbing service are in order
∎ Organize and supervise other office activities (recycling, renovations, event planning etc.)
∎ Keep field office GSS well informed of policies and regulations and conduct regular meetings for fostering a culture of learning and development
∎ Keep abreast with all organizational changes and business developments
∎ Promote an organisational culture for learning and achieving impacts at scale
∎ Field visits as necessary
∎ Any other job as assigned by the management
Additional Requirements:
∎ Master’s degree in a related discipline from a reputed university.
∎ At least 06 years of experience in procurement, general support services, supply chain and administration.
∎ Adequate experience in procurement and services in a high demanding context
∎ Demonstrated experience and skills in providing on time support to programme delivery team
∎ Demonstrated experience in vendor management involving wide range stakeholders including PNGOs.
∎ Familiarity with financial and facilities management principles
∎ A person well organized, attentive to details, and use concise, persuasive writing
∎ Ability to manage multiple responsibilities and set priorities
∎ Excellent analytical and communication skills
∎ Familiarity with relevant stakeholders in development sector
∎ Excellent ability to work with a virtual cross-functional team
∎ Fluency in Bangla and English required
∎ Ability to work with a diverse team
∎ Ability to work under pressure
∎ Conversant with safeguarding policy
Salary: Tk. 88000 (Monthly)
