  • Familiarity with CRMs (e.g., Pipedrive) and ability to document interactions accurately.

  • Able to coordinate across departments and relay information effectively.

  • Knowledge of legal service workflows and Rules of Service is an asset.

  • Calm under pressure, solution-oriented, and responsive to urgent concerns.

  • Able to prioritize tasks and manage time efficiently in a fast-paced environment.



Responsibilities & Context:

Title: Client Care Specialist

Role: To monitor all ongoing active files after dispatch. This role ensures progress is tracked, clients are updated in a timely manner, and files move efficiently toward affidavit preparation. The officer coordinates with the Dispatch and Affidavits departments and maintains communication with Process Servers to address reattempts, redispatch needs, or successful service updates.

Responsibilities:

  • Serve as the main liaison between clients and internal teams, ensuring clear, prompt, and professional communication.

  • Respond to client inquiries regarding file status, service instructions, and general support.

  • Relay client concerns, updates, and feedback to the appropriate department (e.g., Dispatch, Affidavits).

  • Track client-specific instructions and ensure they are implemented throughout the service cycle.

  • Provide proactive updates to clients on file progress and important milestones (e.g., dispatched, attempted, served).

  • Ensure all client communication is logged accurately in the Pipedrive.

  • Identify and escalate urgent issues or client dissatisfaction to management when needed.

  • Assist in building client trust and satisfaction by providing timely resolutions and consistent follow-through by assisting the Scrubbing Team move the file along.

  • Maintain a strong understanding of the company’s services, workflows, and the Rules of Service to effectively assist clients.
