General Description of the Role:
The Case Management Supervisor is responsible for delivering and overseeing the Case Management Services to the Children in Needs and exposed to violence, exploitation, abuse or neglect, and managing and providing administrative and technical support to Case Management Officers. S/He will work under the supervision of Child Protection Project Manager in close collaboration with Case Management Technical Specialist to provide an overall operational oversight and technical support for implementation and follow up of the Case Management Support.
Key roles and responsibilities:
Case Management Service Supervision:
Schedule, conduct and supervise Case Management supervision tools (meetings, case file check, observation, shadowing) with all Case Management Officers at least every two weeks and share minutes of Case Management meetings with CM Technical Specialist/ Child Protection Project Manager.
Support individual cases when required and provide regular monitoring of all aspects of Case Management Services, review staff case load to ensure they are manageable and share challenges with CM Technical Specialist.
Conduct regular team meetings to discuss cases, address challenges, and provide guidance and ensure field visits 4 days out of 5 days in a week.
Foster a positive and supportive work environment that encourages professional development and growth of the team.
Ensure access to material, logistical, and further technical support and set eligibility criteria for materials and other support in the framework of the Emergency Case Management Fund;
Organize case conferences with relevant stakeholders for high-risk and complex cases with the support of Case Management Technical Specialist.
Directly support the team to assist for BID cases.
Provide direct support to women, children and Persons in Needs for managing survivor-centered support, PFA for women and girls and Persons in Needs, safe, appropriate and confidential referrals; risk reduction and mitigation, provision of information, service mapping and basic quality assessment, community outreach and engagement, and other areas as identified;
Prepare and submit weekly/monthly/ ad hoc reports to CPTS and CPPM
Inform the CP PM of identified challenges and delays of project implementation at the Camps/ the Host community level and assist in identifying mitigation measures.
Actively participate and in the CP/ multi-sectorial needs assessments by mobilizing community members, conducting interviews, administering surveys and contribute to producing quality needs assessments reports.
Convening the team on a regular basis to review programming, progress, successes and challenges and make timely adjustments to the activities; and reporting back to the Case Management Technical Specialist and CPPM
Ensure that ethical and sound data collection and information management is implemented for appropriate data analysis, planning, evaluation, and advocacy.
Staff and project management:
Perform field monitoring visits on a regular basis providing technical and operational support to CM teams, participate in identification of the knowledge and skills needs of the teams under Her/His supervision and ensure those needs are addressed in a timely manner in collaboration with CP PM and CM Technical Specialist;
Support to prepare and submit the Project Mid-Year, and End-Year Report, and the Needs Assessments to the CiCs/ the GoB Authority for approval;
Follow up on attendance records of the Case Management Volunteers and facilitate the PWAR;
Conduct staff Performance Appraisals, follow up Case Management Officers’ attendances, leaves and provide monthly attendance sheets to the Child Protection Project Manager to facilitate payroll process;
Support disciplinary measures application if needed;
Contribute to the development of Procurement Plans, submission of procurement and service requests and a close follow up on them, ensuring timely delivery of goods and services to the designated Camps;
In a close coordination with the M&E and the Information Management Teams, ensure that the project database is regularly and accurately updated, and the M&E plan is followed up, lessons are learned, experiences are exchanged, and feedback of the beneficiaries is effectively incorporated into PSS camp-level programming in a timely manner;
Maintain open, supportive, and professional relationships with all team members, promoting a strong team spirit and providing management support and guidance to enable staff to successfully perform their roles;
External coordination and representation.
