Job Responsibilities:
∎ PLANNING AND ORGANIZATION
∎ Contribute to the global workplan of his/her department for the project's duration, in collaboration with his/her supervisor
∎ Plan the weekly activities for his/her team in coordination with his/her supervisor.
∎ Plan, anticipate and report the human resources needs (daily workers, workers...) based on the planned activities
∎ Plan, anticipate and report, in an accurate way, the tools and materials needed for the implementation of the activities
∎ Plan, anticipate and report the administrative needs and issues related to his/her department
∎ Plan, anticipate and report the logistics needs and issues related to his/her department (transport, communication means...)
∎ IMPLEMENTATION
∎ Supervise and monitor each stage of the Camp Operation and Monitoring activities, including:
∎ Facilities and shelter plots allocation
∎ Field assessments
∎ Services monitoring
∎ Camp mapping
∎ Internal or external relocation
∎ Disaster Management Unit Volunteers (DMUs) selection and mobilization
∎ Emergency preparedness and response during monsoon and cyclone season
∎ Cash for work selection and enrolment
∎ DRR activities
∎ Any other Camp operation and monitoring activities
∎ Ensure the timely submission of the site-level incident assessments and the quality of the questionnaire
∎ Support Partners for any field assessments as per requested by his/her supervisor
∎ Implement a community-led approach in his/her department activities
∎ Ensure that all assessments, tools, incorporate a protection approach especially for people with specific needs, women, and girls
∎ Ensure a fruitful communication with the other project's departments and provide support when required
∎ Establish and maintain good relations with communities, RRRC representatives, Partners, contractors/workers and any other participants
∎ LOGISTICS, ADMINISTRATION AND HR
∎ When recruiting and managing daily workers, follow procedures and directives outlined by his/her Deputy Project manager and the administrative service
∎ Participate in team recruitment in collaboration with the PM and DPM
∎ Enforce safety procedures and ensure they are followed by the members of his/her team. Report any breach of safety procedure to his/her supervisor immediately
∎ Raise logistic needs for his/her department before facing a shortage
∎ Enforce PUI internal logistic, admin and HR rules and regulation at his/her department's level
∎ Ensure the proper receipt and storage of his/her department's materials and equipment's on site
∎ Monitor the quality and quantity of his/her team's materials delivered and report issues
∎ Conduct regular appraisal for the staff under his/her responsibility.
∎ REPORTING, MONITORING AND FOLLOW-UP
∎ Ensure that standards and instructions given by his/her supervisor, as well as PUI procedures, are followed
∎ Ensure the quality of the activities implemented by his/her team through regular field check, and provide report to his/her supervisor
∎ Respect schedules and deadlines agreed upon with his/her supervisor
∎ Contribute to the creation of reporting, monitoring and follow up tools and report any missing ones
∎ Fill up monitoring and reporting tools as per required by his/her supervisor in a timely and qualitative manner, including sources of verification
∎ Train his/her team members to properly use and maintain the required monitoring tools
∎ Ensure the collection, proper filling and archiving of the sources of verification, as per required by his/her supervisor
∎ Take part in daily briefing and debriefing in a timely manner and with appropriate information
∎ Draw up and submit a weekly task report to his/her supervisor respecting the template and guidelines provided
∎ Draw up and submit daily incident reports during monsoon
∎ COORDINATION
∎ At the request of his/her supervisor, attend relevant technical working groups, coordination meetings, forums and others.
