Responsibilities & Context:
∎ Greet and welcome visitors in a friendly and professional manner.
∎ Verify visitor identities and issue visitor passes.
∎ Maintain a visitor log and ensure security protocols are followed.
∎ Direct visitors to the appropriate person or department.
∎ Coordinate meeting room bookings and prepare meeting spaces.
∎ Answer and direct incoming calls promptly and professionally.
∎ Take and relay messages accurately.
∎ Provide information to callers and visitors.
∎ Handle email inquiries and distribute incoming mail and deliveries.
∎ Use intercom systems.
∎ Monitor building access and security cameras.
∎ Report any suspicious activity or security breaches.
∎ Assist with emergency procedures and evacuations.
∎ Maintain a safe and tidy reception area.
∎ Perform general administrative tasks, such as filing, photocopying, and data entry.
∎ Order and maintain office supplies.
∎ Process incoming and outgoing mail and packages.
∎ Maintain accurate records.
∎ Assist with scheduling appointments.
∎ Provide excellent customer service to all visitors and employees.
