Responsibilities & Context: Job Summary:
The Building Manager is responsible for the efficient operation, maintenance, and administration of commercial properties. This role involves managing the building’s physical infrastructure, ensuring compliance with safety regulations, overseeing tenant relations, and coordinating with service providers and workers.
Key Responsibilities:
Property Management:
- Oversee the day-to-day operations of the building, ensuring all systems (i.e. Computerized Building Management System, Lift Access Control System, Fire Control System) are functioning correctly.
- Conduct regular inspections to assess the condition of the property and identify maintenance needs.
- Manage all aspects of property maintenance, including scheduling repairs, renovations, and general upkeep.
- Committee Meeting:
- Organize and prepare agendas and papers for committee meetings.
- Attend meeting and write minutes and ensure proper follow-up on actions and decisions taken.
- Oversee the implementation of committee decisions.
- Financial Management:
- Process and record daily financial transactions, including payments, receipts, and journal entries.
- Verify and post transactions to the appropriate accounts, ensuring accuracy and compliance with accounting standards.
- Monitor and reconcile bank statements to ensure consistency with financial records.
- Prepare and manage the property’s budget, including forecasting expenses and managing costs.
- Generate electricity bill according to their consumption and oversee bill collection.
- Oversee accounts receivable, ensuring timely billing and collection of outstanding invoices.
- Prepare monthly, quarterly, and annual financial statements.
- Prepare financial reports for property owners or stakeholders.
- Ensure timely and accurate month-end and year-end closing processes.
- Payment of salary to employees at scheduled time with permission of authority.
- Tenant Relations:
- Serve as the primary point of contact for tenants, addressing their needs, concerns, and complaints in a timely manner.
- Coordinate tenant move-ins and move-outs, ensuring minimal disruption to occupants.
- Safety and Compliance:
- Ensure the property complies with local regulations, including health and safety standards.
- Develop and implement emergency preparedness plans and conduct regular safety drills.
- Maintain proper documentation of all compliance activities and certifications.
- Staff Management:
- Train and supervise on staff such as cleaners, maintenance workers, security personnel, and supporting staffs.
- Schedule and oversee the work of service providers.Manage and record employee leave register.
- System Management:
- Oversee the design, installation, and commissioning of fire detection and suppression systems.
- Ensure all fire control systems are maintained and tested regularly in accordance with local fire safety standards and regulations.
- Ensure that all IP cameras are in good working and are regularly maintained and tested.
- Ensure staff are knowledgeable about the operation of fire control systems and their roles in fire safety.
- Observe live video feeds from IP cameras.
- Identify and respond to suspicious activities or security breaches.
- Administrative Duties:
- Maintain accurate records of building operations, maintenance activities, and tenant interactions.
- Establish and maintain positive relationships with vendors and suppliers.
- Communicate technical issues and requirements to vendors for timely resolution.
- Ensure punctual attendance at office and complete assigned tasks on time.
