∎ Bachelor’s degree in any discipline, preferably with a Degree/Diploma in Personnel Management with proficiency in English to communicate with foreign doctors/delegates/guests.
∎ Minimum SSC/HSC in case of Naval/Defense background.

∎ Demonstrated experience in administrative activities, with a minimum of 5 years of relevant professional experience.
∎ Proficient in office and personnel management, with a strong understanding of administrative processes.

Responsibilities & Context:
∎ Acting in a subordinate capacity to the Head of fleet Management/Senior Fleet Engineer/Fleet Engineer/Assistant Fleet Engineer of Friendship on all administrative, operational and safety aspects of operation of the floating hospital ship including visitors.
∎ Required to oversee and control all day-to-day activities of the floating hospital including health program/camps and ensure compliance with all applicable local maritime rules and regulations.
∎ Responsible for maintaining all financial accounts in liaison with the Finance Department of Friendship including health program/camps.
∎ Responsible for the leave management of all onboard Fleet Staff in liaison with his line manager.
∎ He will be responsible and accountable to the Head of Fleet Management/Senior Fleet Engineer/Fleet Engineer/Assistant Fleet Engineer of the Fleet Management Department in HO for his duties and performance.
∎ He will be responsible for the day-to-day supervision and delegation of duties to the Ship including overall administration and activities of the hospital ship.
∎ He will be responsible for the management and maintenance of the attendance register of the hospital ship.
∎ He will be overall responsible for the supervision and delegation of duties of the Fleet staff for cleanliness and maintenance of the ship, equipment and accessories, etc.
∎ He will be responsible for arranging and conducting employee’s annual appraisals and forwarding the relevant paperwork to the Head Office.
∎ He will be responsible for developing and maintaining records and systems relating to the day-to-day & will be responsible for checking vouchers, bills and expenditures before submitting them to the accounts.
∎ He will be responsible for submitting all types of requisition of the hospital ship including deck, engine and saloon stores required for the hospital ship to the Head of Fleet management/Senior Fleet Engineer/Fleet Engineer/ Assistant Fleet Engineer of the Fleet Management Department in HO.
∎ He will be responsible for preparing fuel oil and lubricating oil requisition of the Main Engine, Generator & all associated boats of the hospital ship and submitting to the Head of fleet management/Senior Fleet Engineer/Fleet Engineer/ Assistant Fleet Engineer of the Fleet Management Department in HO for approval/procurement and submission of all bills to the Accounts.
∎ He will be responsible and accountable for the overall cleanliness and maintenance of the ship, equipment, accessories etc. and the hospital unit of the ship.
∎ He will be overall responsible for the ship’s movement from one location to another for providing medical services in consultation with the Master of the ship for the determination of safe anchoring sites and safety of the ship and personnel during the passage.
∎ He will be responsible for the leave administration of all Fleet staff members, maintaining leave records and granting leave applications in consultation with Senior Fleet Engineer/Fleet Engineer/ Assistant Fleet Engineer of the Fleet Management Department in HO.
∎ He will be responsible for regular purchase requirements for the hospital ship and other programs with the assistance of the Head of fleet Management/Senior Fleet Engineer/Fleet Engineer/ Assistant Fleet Engineer /Health Sector as applicable.
∎ He will be responsible for supervising stock controls in relation to fuel oil, lubricating oil, medicines, consumables and non-consumable items of the hospital ship.
∎ He will be responsible for maintaining an inventory of all instruments, properties, assets, tools and equipment of the hospital ship.
∎ He will be responsible to assist and support the organization’s personnel and program in terms of logistics when and where required.
∎ He will be responsible for the management of the official mobile phone, laptops & computers.
∎ He will always be required to observe and uphold Friendship’s Code of Ethics, Policies & Guidelines, Rules & Regulations, Personnel & Confidentiality Policies.
∎ He can be delegated to undertake any other additional duty as required or directed by the relevant higher authority appropriate to his competency or grade and can be transferred from ship to ship as per operational requirement or convenience of Fleet Management Department in a post appropriate to his competency or grade.
∎ He will be responsible for coordination & liaison with local authorities both in Government & Non-Governmental Organizations.
∎ He will be required to attend to visiting VIPs, Guests and visiting local and foreign doctors to the ship and to look after their proper meals, comfort and safety.
