Job Responsibilities:
∎ A. Support Administrative functions
∎ Provides support to day-to-day management of the Project Office to ensure efficient operation of administration activities:
∎ Establish, an overall filing system for both administration and technical/program documents.
∎ Manage all incoming & outgoing papers.
∎ Oversee overall maintenance of the office including cleanliness.
∎ Check driver's logbook regularly.
∎ Provide necessary support to program team for smooth operation. Such as:
∎ Provide logistic support to all the trainings.
∎ Prepare and finalise the letters to government and all stakeholders.
∎ Provide Secretarial service including Bangla and English typing.
∎ Maintain record of the materials and documents.
∎ Follow up travel arrangements for consultants and employees such as booking flights, cars, and hotel or restaurant reservations with AFAM.
∎ Receive visitors and ensure that their concerns are addressed efficiently/effectively throughout their visit.
∎ B. Support Financial activities.
∎ Responsible for timely producing and systematically arranging all disbursement vouchers of training, meeting, workshop, petty cash, expense claim and other events for financial adjustments.
∎ Filling of financial vouchers on monthly basis and keep record of all encashment certificates.
∎ Check expense claim, conveyance bills and petty cash payment vouchers.
∎ Receive all types of vendors bill and make physical verification and documentation.
∎ Check all the visit report and travel authorisation are in place.
∎ C. Logistics and store management
∎ Assist Finance and Admin Manager to maintain and update of assets and inventory management activities.
∎ Checking stock of office consumables to determine inventory level,
∎ Anticipate needed supplies followed by placing and expediting orders for supplies.
∎ Ensuring arrangement of different logistics support services such as stationeries, photocopying, vehicle, refreshment, etc.
∎ Maintain inventory of Training/workshop materials and update the inventory record.
∎ Communicate, as instructed, with service providers, vendors, suppliers' other agencies as needed.
∎ Support Meetings and Training/Workshops:
∎ Arrangement of training/ workshop which include:
∎ Booking of venue, food arrangement and IT support,
∎ Ensuring training materials, stationery, folders etc.
∎ Maintain attendance list, ensure registration and reach input sheet.
∎ Ensure all requisitions generated for arranging the training.
∎ Make arrangements/appointment for meetings, organize various logistics for the meeting including catering services.
∎ Make various photocopies of materials and other official documents as needed.
∎ Visit the training venues with specific tasks as assigned by the supervisor.
∎ Any other tasks assigned by the Team Leader or Supervisor
Additional Requirements:
∎
∎ Minimum 5 years in the relevant field in any renowned national, international/multi-national organization.
∎ Computer literacy i.e. MS Word. MS Excel, Power Point, Email & Internet etc.
∎ Typing speed: 40 w.p.m. in English and 30 w.p.m in Bangla
