Job Context:
∎ Cowater International Inc. funded by Global Affairs Canada (GAC) is implementing a five-year Project in Bangladesh titled "Empowering Women through Professionalization of the Nursing Sector in Bangladesh (ProNurse)". The project works for the betterment of female nurses in Bangladesh through adequate trainings, gender responsive education, improved performance etc,. The Project aims to enhance the voice and influence empowerment of nurses in the health sector in Bangladesh.
∎ JOB SUMMARY:
∎ The Admirative Assistant reporting directly to Finance and Admin Manager (FAM), will be a full-time employee responsible to provide administrative support for efficient operation of office including support towards Projects training, workshop events and support day-to-day operations of the ProNurse Project Office.

Job Responsibilities:
∎ Support Administration and Logistics:
∎ Provides administrative support to ensure efficient operation of administration activities including maintenance of the office and logistics.
∎ Provides secretarial service including Bangla and English typing, photocopying, and scanning documents.
∎ Establish, in coordination with Finance and Admin Manager and Assistant Admin and Finance Manager, an overall filing system (for both administration and technical/program files, document control and management of all incoming & outgoing documents).
∎ Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing, and expediting orders for supplies.
∎ Receive/dispatch official documents in a systematic manner with proper recording, maintaining register of incoming and outgoing mail with daily stamp with dates.
∎ Check driver's logbook regularly
∎ Makes travel arrangements for consultants and senior employees such as booking flights, cars, and hotel or restaurant reservations.
∎ Receive visitors and ensure that their concerns are addressed efficiently/effectively
∎ Communicate, as instructed, with service providers, vendors, suppliers' other agencies as needed.
∎ Assist in all logistic and store related tasks as assigned by the supervisor
∎ Support meetings and Training, workshop events:
∎ Assist Finance & Admin Administrator in making arrangement for training/workshop activities (i.e., booking of venue, food arrangement, training materials, stationery, participants' registration, etc.)
∎ Maintain attendance registers and check them on a regular basis and provide various assistance during Training/ Workshops programs.
∎ Maintain inventory of Training/workshop materials and update the inventory record.
∎ Make arrangements/appointment for meetings, organize various logistics for the meeting including catering services.
∎ Make various photocopies of training materials and other official documents as needed.
∎ Visit the training venues with specific tasks as assigned by the supervisor.

Additional Requirements:
∎ Minimum 5 years in the relevant field in any renowned national, international/multi-national organization.
∎ Computer literacy i.e. MS Word. MS Excel, Power Point, Email & Internet etc.
∎ Typing speed: 40 w.p.m. in English and 30 w.p.m in Bangla
