Responsibilities & Context:

Client Coordination:

  • Interacting with clients to understand their staffing needs.

  • Maintaining relationships with existing clients and cultivating new ones.

Recruitment Process Management:

  • Overseeing the recruitment process from job posting to candidate placement.

  • Screening resumes and conducting initial interviews.

  • Coordinating interviews between clients and candidates.

Documentation and Compliance:

  • Ensuring all necessary legal and regulatory documents are in place.

  • Managing contracts and agreements with clients and candidates.

  • Maintaining records of all recruitment activities and documentation.

Database Management:

  • Managing the agency`s database of clients and candidates.

  • Keeping track of candidate profiles, skills, and availability.

  • Administrative Support: Handling day-to-day administrative tasks such as answering phones, responding to emails, and managing correspondence.

  • Scheduling appointments and meetings.

  • Maintaining office supplies and equipment.

  • Advertising and Marketing:

  • Assisting in advertising job openings through various channels.

  • Developing marketing strategies to attract clients and candidates.

  • Reporting: Generating reports on recruitment activities, client feedback, and performance metrics.

  • Analyzing data to improve recruitment strategies and client satisfaction.

Team Coordination:

  • Collaborating with recruitment consultants and other team members to ensure smooth workflow.

  • Providing support and guidance to junior staff members when necessary.

Problem Solving:

  • Addressing client and candidate concerns or complaints promptly and professionally.

  • Resolving any issues that arise during the recruitment process.

Compliance with Policies:

  • Ensuring adherence to company policies, industry regulations, and ethical standards in all recruitment activities.

  • Overall, the Administrative Officer plays a crucial role in the efficient functioning of the manpower recruiting agency, supporting both clients and candidates throughout the recruitment process while managing administrative tasks to ensure operational excellence.
