Experience:
Bachelor’s Degree in Business Administration (BBA), Management, Supply Chain, Commerce, Social Sciences, or a relevant field.
Minimum 3–4 years of core administrative and logistics experience in national or international NGOs.
Direct work experience in the Cox’s Bazar Rohingya Refugee Response context is highly desirable.
Proven understanding of procurement processes under major international donors (DFAT, USAID, FCDO, or UN agencies).
Technical Skills & Capabilities
Strong knowledge of procurement workflows, inventory control, and fleet/transport management.
Familiarity with camp entry procedures, vehicle pass processing, and local administrative setups under RRRC and CiC authorities.
Proficient in MS Office Suite (Excel, Word, PowerPoint) and basic administrative software.
Strong organizational skills with high attention to detail and ability to handle multiple tasks under tight deadlines.
Interpersonal & Language Skills
Fluency in spoken and written Bengali and English. Knowledge of the Chittagonian dialect or Rohingya language is a distinct advantage.
Excellent negotiation, interpersonal, and team-player skills.
Project Title: Protection-Centred and Locally Driven Response for Rohingya Refugees in Cox’s Bazar
Job Context: Nari Maitree (NM), a well-established women-led NGO with 43 years of experience in Bangladesh, dedicated to empowering women, children, and marginalized communities through human rights, gender equality, disaster resilience, and health initiatives. As a key consortium partner of IRC in the DFAT-funded program "Protection-Centred and Locally Driven Response for Rohingya Refugees in Cox’s Bazar," Nari Maitree leads the consortium's thematic technical domain on GBV Prevention & Response, Gender Equality, and Gender-Inclusive GEDSI (Gender Equality, Disability, and Social Inclusion).
Duty Station: Ukhiya, CoxsBazar, Bangladesh (with frequent field visits to Rohingya camps and host communities)
Reports To: Project Coordinator / Finance Officer
Position Summary: The Admin & Logistics Officer will be responsible for managing day-to-day administration, procurement, inventory, asset management, event logistics, and field transport operations for Nari Maitree’s project team in Cox’s Bazar. Working under the operational framework of the DFAT-funded Consortium led by IRC, the officer will ensure all administrative and procurement activities comply with Nari Maitree’s internal policies, IRC sub-grant guidelines, and DFAT compliance standards. The role also provides crucial logistical support for organizing technical workshops, Community of Practice (CoP) meetings, field assessments, and stakeholder visits across camps and host communities.
Key Responsibilities & Essential Functions
Procurement & Supply Chain Management
Execute procurement activities for goods, services, and supplies in strict compliance with Nari Maitree procurement policies and DFAT/IRC sub-grant guidelines.
Prepare Requisitions, RFQs (Request for Quotations), Comparative Statements, Purchase Orders, and Goods Received Notes (GRN) with complete supporting documentation.
Maintain an updated vendor database in Cox’s Bazar, ensuring transparency, value for money, and anti-fraud compliance.
Coordinate the timely delivery, inspection, and distribution of project materials (e.g., GEDSI training toolkits, awareness campaign materials, office supplies) to field teams and camp locations.
Event, Workshop & CoP Logistical Support
Organize end-to-end logistics for quarterly GEDSI & Intersectionality Community of Practice (CoP) meetings, technical workshops, training sessions, and stakeholder meetings.
Manage venue bookings, catering, participant travel reimbursements, stationery, and audio-visual equipment setup.
Coordinate logistical arrangements for donor visits (DFAT), IRC prime representatives, PMU members, and government authorities (RRRC, CiC, DC office).
Transport & Field Travel Management
Coordinate vehicle allocation and daily movement schedules for project staff, technical advisors, and monitoring teams traveling to Rohingya camps and host communities.
Review vehicle logbooks, fuel consumption reports, vehicle maintenance records, and driver schedules on a monthly basis.
Ensure all hired or organizational vehicles strictly adhere to field safety standards, camp access rules, and security protocols set by local authorities (RRRC/CiC).
Office Administration & Asset Management
Manage day-to-day Cox’s Bazar field office operations, including utilities, office maintenance, security arrangements, and cleanliness.
Maintain a comprehensive Project Asset & Inventory Register, ensuring all equipment (laptops, furniture, cameras, etc.) is properly tagged, tracked, and safeguarded.
Handle physical inventory verification, stock control, and warehouse/storage arrangements for project materials.
Manage lease agreements for the field office and oversee timely payments for rent, utilities, and office service vendors.
Compliance, Documentation & Archival
Maintain meticulous physical and digital archivism of all procurement files, contracts, travel authorizations, and inventory logs for donor audit readiness.
Work closely with the Finance team to verify vendor invoices, bills, and payment vouchers before submission.
Uphold strict compliance with Nari Maitree's Safeguarding, PSEAH (Protection from Sexual Exploitation, Abuse, and Harassment), Child Safeguarding, and Anti-Fraud policies across all administrative activities.
Assignment Duration: Tentative 27 months
Consolidated Tk. 46,500/- (BDT) per month and other admissible benefits as per organization rules. (Inclusive of all applicable taxes as per the law of Bangladesh)
