Job Context:
∎ The Admin Officer is responsible for supporting the HR team and Country Director with various admin tasks. The role holder will be very organised, structured in their work, and have excellent accuracy and attention to detail. The job holder will oversee the preparation and orderly filing of HR documents, proofreading and translation of key information and providing administrative support to the senior management team.
∎ In this cross-functional position, the role-holder will be strong inter-personal and organisational skills, as well as be able to work independently.
Job Responsibilities:
∎ Processing accurate information that will support the HR and management team:
∎ Responsible for administrative work within HR such as organising signatories in the office, printing, scanning, filing and other administrative tasks.
∎ Responsible for maintaining an updated database with all the information about current employees and volunteers of the organization, including personal information, salary, time in the organization, and past grievances, if any; and
∎ Translation of key policies and memos from the management team from English to Bengali.
∎ Maintaining information for volunteers:
∎ Responsible for coordinating with programme teams to maintain all volunteer documentation up to date in the data base and hard copies.
∎ Coordinating with programmes teams for the induction for volunteers.
∎ Where needed assisting with the recruitment process:
∎ Assisting where needed in recruitment process, posting job openings, shortlisting, organising interviews and tests, background checks and follow up with candidates.
∎ Assisting where needed with on boarding of new staff:
∎ Assisting in the on boarding process of new staff such as preparing contracts, providing guidance and assistance to new employees, keeping employee records up to date
∎ Others:
∎ Assisting the Country Director with administrative tasks such as preparation of key documentation, including supplier agreements, contracts, information for local authorities, donor agreements.
Additional Requirements:
∎ Age 25 to 55 years
∎ Both males and females are allowed to apply
∎ 1 year experience in human resource or administration position.
∎ Previous experience working with other cultures
∎ Good grasp of MS World, HR specialized web site
∎ High level of written and spoken Bangla.
∎ Spoken level of Chittagonian
∎ Working level of English (oral & written)
∎ Power point and Publisher
∎ Organised, Works well under pressure
∎ Works well in a team
∎ Experience of training, counselling
∎ Adaptable & willing to take on additional tasks
∎ Good communicator & coordinator, able to prioritise tasks
