Responsibilities & Context:

Key Responsibilities:

Accounts Responsibilities:

  • Maintain and update all books of accounts, ledgers, vouchers, and supporting records.

  • Manage accounts receivable and payable; ensure timely collection and vendor payments.

  • Prepare bank reconciliation statements and monitor daily cash flow.

  • Assist in preparing financial statements, monthly/quarterly/annual closing, and audit schedules.

  • Handle payroll processing, staff advances, and expense reimbursements.

  • Ensure compliance with VAT, TAX, TIN, BIN, and other regulatory obligations.

  • Assist in financial forecasting, budgeting, and cost control analysis.

  • Prepare MIS reports for management decision-making.

Commercial Responsibilities:

  • Prepare and process LC (Letter of Credit), TT, bank guarantees, and other trade finance documents.

  • Manage import/export documentation including commercial invoices, packing lists, COO, BL/AWB, and customs clearance.

  • Liaise with banks, C&F agents, freight forwarders, suppliers, and regulatory bodies.

  • Negotiate with vendors and service providers for best pricing and contractual terms.

  • Manage procurement activities including purchase requisition, purchase orders, and vendor agreements.

  • Ensure smooth logistics coordination for inbound and outbound shipments.

  • Maintain proper documentation for internal and external audits.

General & Administrative Duties:

  • Coordinate with cross-functional teams (Sales, Operations, HR, and Management).

  • Maintain confidentiality of financial and commercial records.

  • Support management in investment, project feasibility, and cost-benefit analysis.

  • Monitor credit control and customer payment follow-ups.

  • Ensure timely renewal of licenses, trade documents, and statutory compliance.

  • Maintain vendor and customer databases for smooth commercial operations.

  • Provide support during external audits, inspections, and government inquiries.

  • Prepare periodic reports on accounts, procurement, and commercial status for management.

  • Perform any additional tasks assigned by top management.
