Responsibilities & Context: Job Summary:
The Telephone Operator is responsible for handling incoming and outgoing calls professionally, maintaining communication logs, guiding callers to appropriate personnel/departments, and providing courteous support to employees and visitors. The role ensures smooth communication within the organization and delivers excellent customer service.
Duties & Responsibilities:
- Receive all incoming calls promptly and connect to appropriate departments/officers.
- Make outgoing calls on behalf of management when required.
- Maintain a polite and professional tone during all interactions.
- Record messages accurately and ensure timely delivery to concerned officials.
- Provide information to callers regarding office location, contact details, and services.
- Maintain telephone call logs, message records, and call tracking register.
- Update and maintain internal telephone directory.
- Report malfunctioning telephone lines or PABX issues to IT/Support team.
- Assist the Admin/Front Desk team in daily administrative activities.
- Handle routine inquiries and direct them to the relevant authority.
- Support internal communication for meetings, appointments, and emergencies.
- Ensure confidentiality and professionalism when handling sensitive information.
- Follow organizational communication protocols strictly.
