Responsibilities & Context:

Daily:

1.      Develop & implement the standard operating procedures (SOP) of the department.

2.      Schedule meetings and manage the Managing Director’s calendar.

3.      Check and share important emails with the MD and the relevant person.

4.      Answer & connect all phone calls to the concerned person or Business Units.

5.      Receive and manage invitations via email and digital platforms.

6.      Coordinate communication between all business units and departments.

7.      Check the MDs' room supply, inventory with support staff who have Access in the MDs' Room.

8.      Continuous learning using ChatGPT and staying updated with the latest AI software developments.

9.      Oversee all admin work related to the MD’s Office. 

10.  Process bank cheque clearing with approval from the Group head of Finance and Accounts or the unit’s Manager.

11.  Review and cross-check all documents that require the MD’s signature to ensure accuracy and completeness.

12.  Share MD’s Office Daily report updates with MD via WhatsApp.

 

Weekly:

1.      Following up on the weekly or biweekly report from the business units.

2.      Provide the allotted allowance to the Managing Director.

3.      Manage payables and receivables, and other personal cheques.

 

Monthly:

 1.      Attending and keeping Monthly Budget review meetings.

2.      Oversee Credit card Monthly bills and personal bank account, and arrange payment as per the MD’s instructions.

3.      Received remuneration from the business units and banking deposit to the MD’s tax A/C.

4.      Oversee monthly rental property payments.

5.      Checking the Bakrail fund or any utility bills pending.

 

Annually:

1.     Maintain tax filing, HST, and Property Tax for MD and the unit’s Chairman; follow up with tax lawyer on documentation and deadlines.

2.     Coordinating and keeping track of Munshi company license renewal with the Corporate Affairs Manager.

3.     Coordinate and monitor the progress of each SBU Business Plan and Department’s business plan in line with the timeline.

 

When needed:

1.      Coordinating for the Chairman of the business units and UWC during the absence of the other Executive Assistant.

2.      Coordinating with foreign clients and providing an invitation letter with the MD’s approval.

3.      Support business development communications with corporate affairs and each unit.

4.      Handle MD’s flight booking and hotel bookings.

5.      Prepare an itinerary of travels and arrange scheduled meetings abroad.

6.      Coordinating and keeping track of the MD & family Property in Bangladesh and abroad.

7.      Keeping track of Quarterly Business Review meetings and Foreign Consultant Evaluation.

8.      Handling and reviewing Service Agreements and MOUs for the business unit.

9.      Preparing a draft email and sending it on behalf of the Managing Director.

10.  Maintain invoices, accounts payable/receivable, and the MD’s Personal Cheque book.

11.  Checking foreign currency rate and handling remittance transactions for purposes.
