Job Summary:
The Personal Secretary to Top Management will provide comprehensive executive, administrative, and secretarial support to designated members of Top Management, ensuring the smooth and efficient operation of their offices. The incumbent will serve as a key liaison between Top Management and internal/external stakeholders, maintaining the highest standards of professionalism, confidentiality, and organizational effectiveness while facilitating the execution of strategic and operational priorities across the Group.
Key Responsibilities
Provide dedicated secretarial and administrative support to Top Management and ensure efficient day-to-day management of their offices.
Manage and maintain calendars, appointments, meetings, travel schedules, and business commitments of Top Management, ensuring effective prioritization and time management.
Coordinate and arrange meetings, conferences, business engagements, and official appointments, including preparation of agendas, meeting materials, and follow-up actions.
Prepare, draft, review, and manage confidential correspondence, official letters, emails, reports, presentations, and other business documents on behalf of Top Management.
Screen and prioritize incoming calls, correspondence, visitors, and requests, ensuring timely and appropriate responses.
Maintain accurate records, databases, filing systems, and confidential documents in an organized and secure manner.
Take dictation, prepare meeting minutes, record key decisions, and ensure proper documentation and follow-up of assigned action points.
Prepare periodic reports, business summaries, presentations, and analytical documents for Top Management’s review and decision-making.
Coordinate with Directors, Business Unit Heads, Department Heads, and external stakeholders to facilitate effective communication and execution of directives issued by Top Management.
Handle sensitive and confidential information with absolute discretion and professionalism.
Arrange domestic and international travel plans, including visa processing, flight reservations, accommodation, transportation, airport protocol, and travel itineraries.
Monitor the progress of special assignments and strategic initiatives assigned by Top Management and ensure timely follow-up with concerned parties.
Manage corporate correspondence and relationship-building activities, including the dispatch of greetings, invitations, gifts, souvenirs, and official communications to clients, business partners, government agencies, and other stakeholders.
Facilitate coordination between Top Management offices and various group companies, ensuring smooth information flow and effective implementation of decisions.
Maintain effective communication and coordination among multiple Top Management personnel to ensure alignment of schedules, priorities, and organizational objectives.
Perform any other duties and special assignments as entrusted by Top Management from time to time.
