Responsibilities & Context:
∎ The incumbent will be responsible for the following roles and responsibilities, along with any additional duties assigned by the management as needed.
∎ 1. Grants Officer
∎ Identify potential grant opportunities from various sources such as government agencies, foundations, and corporations that align with the NGO's mission and projects.
∎ Prepare and submit well-written grant proposals, ensuring they meet the specific requirements of each funding opportunity and effectively communicate the NGO's goals, activities, and impact.
∎ Collaborate with program managers and finance teams to develop accurate and detailed budgets that outline project expenses and align with the funding requirements
∎ Establish and maintain positive relationships with grantors, donors, and other stakeholders through effective communication, networking, and periodic updates on the NGO's activities.
∎ Participate in the evaluation of grant-funded projects to assess their impact, identify lessons learned, and contribute to the organization's learning and improvement.
∎ Support line manager: to develop and maintain overview of all grants, donor requirements, rules and regulations, and internal and external deadlines, including filing of grant documents.
∎ Stay updated on funding trends, best practices, and changes in the grant landscape to enhance the NGO's competitiveness in securing funding.
∎ Collaborate with program teams, finance, and other departments to ensure alignment between funding proposals and the NGO's strategic objectives.o Maintain accurate records of all grant-related documents, communications, and reports for future reference and auditing purposes.
∎ Ensure knowledge documentation
∎ Support to prepare NGOAB FDs related agreements and project letters (as well as other documentation, including project introductory letters, reporting, other correspondence) and fulfilment by Uttaran’s project participants and donors.
∎ Prepare the process of the development and revision of funding proposals, budgets, and donor reports.
∎ Be updated on donor priorities and track and share relevant calls for proposals when possible.
∎ 2. Development and Communication Officer
∎ Planning, managing, and updating all social media platforms including Facebook, Twitter and Instagram
∎ Ensure quality content development with writing and editing both in Bengali and English
∎ Coordinate with the Program implementation team to collect and produce reports, photographs, videos, success stories, etc.
∎ Assisting, editing, and distributing content, including publications, press releases, social media posts, annual reports, speeches, scripts, banners and other communication/visibility materials that communicate the organization's activities, products and/or services
∎ Ensuring brand guidelines are followed for all published materials, in print and online
∎ Providing editorial support and direction to the program team in developing various reports
∎ 3. MEAL Officer
∎ Develop and implement monthly, quarterly, and yearly MEAL plans, while providing ongoing support to the project team for evidence-based decision-making and quality implementation at the field level.
∎ Collaborate with the Project Coordinator to design, plan and execute the M&E framework of the project.
∎ Develop data collection tools to collect data using mobile data collection platforms (e.g., Kobo Collect, ODK).
∎ Managing M&E /MIS database including template design, data entry, cleaning, logical checks of monitoring data.
∎ Conduct regular field monitoring to ensure activities meet KPIs, safeguard project information in line with Uttaran’s Data Management Policy, and address risks and threats to data integrity.
∎ Prepare monthly, quarterly, yearly reports as well as event and other data reports as necessary.
∎ Assist with baseline, endline, On-site distribution monitoring (ODM), Post Distribution Monitoring (PDM) surveys using tools and managing data for quality report writing.
∎ Creating success stories/ case studies.
∎ Maintain CFRM as per Uttaran’s Complain and Feedback Mechanism policy.
∎ Job Summary
∎ The Grants Officer will identify and pursue grant opportunities, prepare and submit proposals, and collaborate with program and finance teams to develop budgets. H/She will maintain donor relationships, support grant-funded project evaluations, and assist in developing and revising proposals and reports. The officer will also manage grant documentation and stay updated on funding trends and relevant opportunities to enhance the organization’s competitiveness in securing funding.
∎ The Development & Communications Officer will play an important role in developing Uttaran’s profile in the country and support in managing the overall communication activities at all levels, ensuring consistency of communication across the projects. H/She will develop and publish material in support of Uttaran’s missions and visions.
∎ The MEAL Officer will work under the MEAL Manager and be accountable for developing quality reports and documentation. H/She will develop required monitoring tools and implement for measuring progress according to the project log frame. Additionally, h/she will support to develop online and offline data collection tools, reporting templates as well as maintain CFRM to meet the requirements of the MEAL system.
