∎ POSITION OVERVIEW
∎ We are looking for an Office Assistant (OA) who is energetic, disciplined and proactive with a strong understanding of computer composing, letter typing, official procedures, typing in Bangla, and all kinds of out-ward and in-ward official correspondence.
∎ To be successful as a OA he/she needs to have adequate knowledge of norms and procedures of official correspondence.
Job Responsibilities:
∎ Office Assistant reports to PC in performance of his duties and devotes time as per following broad headings:
∎ 1. Letter Composing, In-ward Mail Receiving and Out-ward Mail Delivery and Record keeping (80% of time)
∎ The Office Assistant will be responsible for composing all official letters in English and Bangla and delivering it to CiC, UNO and MedGlobal main office as and when needed.
∎ He/she is responsible for confidentiality and preserving privacy of mail and its content.
∎ OA will keep a record of all mails received and delivered from the office on daily basis.
∎ OA will maintain in-ward and out-ward mail register where records of all letters are to be entered.
∎ OA will communicate with HR Officer and/or whenever necessary to update main office about leave of staff of camp-24.
∎ OA will keep record of all leave in a leave register and update main office on daily basis.
∎ He is responsible to issue stationary items to all doctors, maternity, patient registration, lab, flu corner etc. against a demand or requisition.
∎ 2. Networking: (20% of time)
∎ Visit, as per the order of PC, CiC , local Govt. admin authorities, UNO, NGOs/INGOs and stakeholders and build rapport and understanding with all of them.
∎ Attend in-house and represent MedGlobal outside meetings as required.
∎ Follow up with headquarter staff after attending meetings;
∎ Explore prospective opportunities for partnership with the health sector, UN agencies or others.
Additional Requirements:
∎ Skills
∎ Working experience in clinic and HP/PHC as Admin Staff
∎ Fluency in Bangla and English and effective communication skill (verbal/nonverbal)
∎ Willingness to travel (at least 30% of time) in field areas, proficiency in Microsoft Office packages and Google and typing speed of 150 words both in Bangla and English is desirable.
∎ Qualifications and Experience
∎ Qualification
∎ Minimum graduate/HSC/Diploma from a Govt. recognized college or any other govt. recognized equivalent institution.
∎ Certification and education/training on maternity, clinic management, nutrition, health, Family Planning will be preferred.
∎ Experience
∎ A minimum of 1+ years of working experience.
∎ An individual with frequent traveling experience is necessary.
∎ Experience in working in Cox's Bazar area will be an advantage.
