Job Responsibilities:
∎ Messenger-Rules and Responsibility 45%
∎ Responsible for opening & shut down (Locking) the office premises every day.
∎ Keep neat and clean office premises and washroom as well as all furniture & equipment during the office hours
∎ Prepare and serve tea or any other meals during office hours and in meetings as per requirement.
∎ Ensuring the availability of safe & drinking water for staff as well as for guests/visitors.
∎ Provide support for doing photocopy, spiral binding, and laminating as per requirement.
∎ Ensure all of the visitors/guests are properly maintained & attained besides maintaining the visitor's register & safety and security of guests at all times.
∎ Responsible for all types of Documents that have to be distributed from desk to desk properly & on time.
∎ Conduct Banking related work, such as TT, DD, Pay orders, certificates, salary, etc as per requirement by the assigned finance personnel in the field office.
∎ Stationery items serving as per daily requirements of different dept.
∎ Ensure all the electronic & other assets/equipment has to be repaired, checked, and maintained as per requirement (At least fortnightly basis)
∎ Ensure all of the safety equipment's available in the office premises and besides keep all of these up to date.
∎ Check the power switch on-off, bulb, clock, A/C, and electric appliances' functionality on every floor/room on a daily basis
∎ Ensure first aid kit boxes are available in the office premises with all of the prescribed items & maintain accordingly
∎ Responsible for Collecting and delivering mail, goods and other communications from and to the different offices as well as Documents/goods receive and send from/ to different places through the courier service
∎ Daily dispatch maintenance for outgoing and incoming letters/documents/goods etc.
∎ Attend phone calls with proper telephone etiquette and standard greetings.
∎ Responsible & accountable for maintaining & as well as managing all of the office keys
∎ Night Guard-Rules and Responsibility 45%
∎ Performs all duties in a safe manner and reports all accidents to the supervisor immediately.
∎ Follow safety and security policies and procedures at all times.
∎ Protect all property by maintaining a safe and secure environment
∎ Monitor and control access at building entrances during the in/out of office time.
∎ Patrols the property's interior ground and back of the office area.
∎ Patrols hallways, parking lots, stairwells, lobbies, or any other parts of office premises.
∎ Ensures all room doors are closed and all public access doors are locked.
∎ Ensures all property's security alarms/CCTC cameras/any other equipment are on and functional.
∎ night check-list maintenance & report to field office In-Charges regularly onwards.
∎ Might spend all or part of his shift monitors for any suspicious activity, and report to the superiors and local authorities in case of any suspicious activity.
∎ Responsible for maintaining clear and concise logs of all nightly occurrences, suspicious activity.
∎ Ensure sufficient lighting in the office surrounding area & Lock property entrances when required
∎ Detect and confront unauthorized persons and violators of security procedures
∎ Prepare written reports of daily activities, observations and incidents
∎ Contact relevant authorities to deal with unlawful or irregular activities and always Keep all emergency contact for immediate action; like-Police, Fire Brigade, Electric company, Hospital etc.
∎ Respond to accidents, contact administer/line manager first aid as required.
∎ Assist guests/employees during emergency situations.
∎ Notify appropriate individuals in the event of accidents, attacks, or other incidents.
∎ Responsible for evicting loiterers or trespassers from time to time.
∎ Escort any unwelcome persons from the property without interrupting the orderly flow of property operation.
∎ Conduct daily physical hazard inspections.
∎ Other Requirements 10%
∎ Willing and able to travel frequently for extended periods and to remote areas of the projects.
∎ Ensure the safety of team members from any harm, abuse, neglect, harassment, exploitation, Fraud, Bribery & Money Laundering to achieve the program's goals of safeguarding implementation and as well as Act as a key source of support, guidance, and expertise on the safeguarding of harm, abuse, neglect, harassment, and exploitation, Fraud, Bribery & Money Laundering for establishing a safe working environment
∎ Participate in seasonal (Ramadan & Qurbani) & emergency response programs if required.
∎ Being a member of Islamic Relief as a child-friendly organization, it is the core responsibility and obligation of each staff member to understand and obey IR Child Protection & PSEA Policy and respond accordingly as and when required.
