Job Context:
∎ Under the supervision of the Grant Manager, the Grants Manager Assistant:
∎ Supports the internal and external reporting requirements, and the proposal development process.
∎ Revises and synthesizes high quality reports and proposals, in close coordination with the coordination team and the field management teams.
∎ Under the supervision and with the support of the Grant Manager, the Grants Manager Assistant`s primary role is to produce and synthesize high quality reports, proposals, assessment reports and any documents distributed externally. To achieve these tasks he/she works in close coordination with the Grant Manager, the program and support teams of the mission. The Grants Manager Assistant will also support the mission in ensuring compliance with donor regulations towards strengthening accountability to donors.

Job Responsibilities:
∎ WRITING, QUALITY and DESIGN
∎ Supports the coordination in editing narrative reports and proposals, in close coordination with the Grant Manager;
∎ Ensures that reports and proposals are of high quality and in line with donor guidelines;
∎ Ensures that reports and proposals are produced and submitted in time and according to donor deadlines.
∎ Launches the interim and final report writing.
∎ Compiles interim and final reports including corresponding annexes, ensuring high-quality, consistent, well-written and timely documents meeting donor and SI requirements.
∎ Reviews and proofreads interim, final narrative reports before the final check by the GM, in consultation with the DCD, technical coordinators and managers of support departments.
∎ Pre-check that the interim and final report package and minimum control point checklist is complete before submission to HQ Desk by the GM for review and validation.
∎ Uploads Proposals, reports and Modification Requests on the UN platforms at national level
∎ Shares all submitted proposals, reports, modification requests, and other official communication with donors with HQ.
∎ Archives proposals, reports, MRs, and other official communication with donors at mission level.
∎ Works with the PMs and PMAs to improve local team capacity in terms of reporting
∎ PLANNING
∎ Establishes a clear reporting retroplan and proposal writing retroplan for every ongoing project or potential project in coordination with the coordinators, the field management teams and with the desk;
∎ Updates the RFU on a monthly basis, shares it with the GM and ensures the respect of deadlines.
∎ INTERNAL and EXTERNAL COMPLIANCE
∎ Monitors and disseminates reporting, proposal deadlines to all relevant staff and ensures consistent and quality information management related to grants by overseeing, in coordination with Desk HQ, the regular maintenance of reporting follow-up tool.
∎ Monitors project evaluations' and audits' deadlines as per the RFU and informs the coordinator(s) in charge.
∎ INSTITUTIONAL KNOWLEDGE-BUILDING
∎ Ensure that reports, proposals and concept notes are properly archived;
∎ Responsible for audit report archiving.
∎ Undertakes continuous archiving of grant/project documents at mission level.
∎ Ensure that correspondence and all contract documents with donors are properly archived;
∎ Participate in the centralization and distribution of procedures, guides and tools linked to the activities.
∎ In charge of Cox's sitrep compilation
∎ The above list is a non-exhaustive one, nor limitative. The GRO could be asked other responsibilities and tasks within the framework of his/her job on demand of the Grants Manager.

∎ PREVIOUS EXPERIENCE IN NGOs, PREFERABLY LINKED TO GRANT MANAGER
∎ GOOD ORGANIZATIONAL SKILL
∎ GOOD INTERPERSONAL AND COMMUNICATION SKILL
∎ FLEXIBILITY AND RESPONSIVENESS
∎ ABILITY TO WORK WITH TIGHT DEADLINES
∎ FLUENT ENGLISH (WRITTEN, SPOKEN AND READ) IS MANDATORY
∎ WORD, EXCEL, OUTLOOK AND POWER POINT SKILL IS MANDATORY

Salary:
∎ Tk. 51300 (Monthly)
∎ BASIC:33000+HOUSE RENT 11600+TA 2500+MEDICAL ALLOWANCE 4200
