Ambala Foundation MRA registration no:000350-01308-00086, has been working in Bangladesh since 1994 with over one million people, their families and communities at the grass root to national level in the field of microfinance, human rights, governance, health, education, income generation, environment, women and children development, cross cultural communication etc. To extend operations and achieve the organizational goal; energetic, positive and presentable multitasking personnel needed for front desk operations of Ambala Foundation Head Office.
Job Responsibility:
The Receptionist serves as the first point of contact for visitors, partners, and beneficiaries, ensuring a welcoming and professional environment that reflects the organization’s mission and values. This role provides essential administrative and clerical support to ensure smooth office operations and effective communication across teams.
Front Desk & Visitor Management
Greet and assist visitors, partners, and beneficiaries in a courteous and professional manner.
Maintain the visitor logbook and enforce sign-in/sign-out and security procedures.
Operate the PABX system, answer direct phone calls, emails, and inquiries to the appropriate departments.
Handle incoming and outgoing mail, courier services, and deliveries.
Receive and hand over all the letters and documents to concern department.
Administrative & Office Support
Provide administrative support as required.
Assist in scheduling interviews, meetings, workshops, and field visits.
Prepare meeting minutes, attendance sheets, and related documentation.
Compose official documents and proposals as per need.
Communication & Coordination
Serve as a communication bridge between visitors, staff, and external stakeholders.
Provide accurate information about the organization’s programs and services.
Support coordination with field offices and partner organizations for logistics and communications.
Record Keeping & Documentation
Maintain and update contact lists of staff, partners, and beneficiaries.
File and archive documents in accordance with confidentiality and record-keeping policies.
Assist in maintaining databases or logs related to visitors and volunteers.
Logistics & Event Support
Support in organizing interviews, meetings, training, and community events (venue, logistics, and materials).
Arrange travel and accommodation for staff, visitors, and consultants when required.
Other Duties
Ensure the reception and common areas are clean, organized, and welcoming.
Report maintenance or IT issues to the relevant staff.
Perform other administrative duties as assigned by the supervisor.
Contract Period: One year. After successful completion of the contract period, she may be confirmed for the next contract and salary may be revised.
