Job Responsibilities:
∎ Front desk management - 50%
∎ Greeting and welcoming guests upon arrival at the office and maintaining relevant records.
∎ Maintaining and receiving letters, messages, and documents record to dispatch them to the concerned authority.
∎ Ensure all telecommunication systems are functioning properly, such as the intercom, PABX, etc.
∎ Screening incoming calls as requested to route them to their proper recipient, taking and relaying messages as needed.
∎ Frequent Email and mobile phone correspondence with the relevant vendor/personnel.
∎ Conveying basic information to the phone calls and the visitors of general inquiries
∎ Guiding security guards on office procedures and IRB standards to maintain while corresponding with visitors/staff.
∎ Operation Support - 30%
∎ Maintaining and preserving the movement register.
∎ Proceeding all kinds of couriers (Documents/materials) to versatile IRFOs while maintaining records.
∎ Transcribing all courier bills with all relevant’s and submitting them to IRCO finance.
∎ Creating and/or maintaining filing systems and ensuring updated information; obtaining documents and information from in-house and external sources to perform information searches when required.
∎ Conference room booking and meeting/event arrangement based on requirements.
∎ Prepare and preserve challan and get a pass as and when needed.
∎ Prepare and submit purchase requests (PR), goods and service receiving notes (GSRN) as well as bill submissions to the relevant.
∎ Undertaking record-keeping system/documentation in line with IRB record management guidelines.
∎ General HR-15%
∎ Make Phone Calls/SMS/emails etc. to all candidates for appearing in the selection process.
∎ Attend to all candidates who will appear in the selection process.
∎ Arrange required documents, Logistics & other belongings for Selection Process Session.
∎ Arrange required documents, Logistics & other belongings for the Induction session.
∎ Maintaining liaison with the vendor for proceeding with official ID card, Insurance membership card, and society ID card (if needed).
∎ Communicate & cooperate with external HR Vendors in relation to HR activities.
∎ Reviewing and compiling IRCO and IRFO staff attendance records while ensuring the signature of supervisors in each record and submitting it to HRD.
∎ Preserving medical bills of all staff of IRFO and IRCO for the weekly submission to the insurance company representative while maintaining records for future reference.
∎ Liaise with the insurance company following the recommendation of IRB-HRD
∎ Other Requirement-10%
∎ Willing and able to travel frequently for extended periods and to remote areas as and when needed.
∎ Organizing and planning the front desk management for more advancement.
∎ Participate & involved with seasonal programs (Ramadan, Qurbani, Winterization, etc.) to implement the MEAL interventions.
∎ Ensure the safety of team members from any harm, abuse, neglect, harassment, exploitation, Fraud, Bribery & Money Laundering to achieve the program’s goals of safeguarding implementation and as well as Act as a key source of support, guidance, and expertise on the safeguarding of harm, abuse, neglect, harassment, and exploitation, Fraud, Bribery & Money Laundering for establishing a safe working environment
∎ Being a member of Islamic Relief as a child-friendly organization, it is the core responsibility and obligation of each staff member to understand and obey the IR Child Protection & PSEA Policy and respond accordingly as and when required.
∎ Perform any other duties assigned by the line manager.
