Responsibilities & Context:

Job Responsibilities: Front Desk & Admin Officer

1. Visitor & Guest Management:

Visitor Registry: Maintaining an accurate manual or digital record of all visitors, including their contact details and purpose of visit.

Greeting & Reception: Welcoming clients and guests with a professional and friendly demeanor and directing them to the appropriate department.

2. Staff Attendance & Movement Tracking:

Daily Attendance: Monitoring and recording the daily entry and exit times of all employees (Attendance In/Out).

Staff Movement Log: Keeping a detailed record of staff members moving in and out of the office during duty hours for field work or personal reasons.

3. Project Visit & Logistics Coordination:

Site Visit Log: Maintaining a dedicated register for project site visits, documenting which clients visited and their initial feedback.

Vehicle Management: Managing the office vehicle schedule; recording which officer or client used which car, the destination, and the purpose of the trip.

4. Communication & Correspondence:

Mail & Courier Handling: Receiving, sorting, and distributing all incoming letters and documents (Inward/Outward correspondence).

Call Management: Attending all incoming calls, providing primary information about the project, and transferring calls to the relevant officers.

5. Administrative & Lead Support:

Lead Collection: Gathering basic information from potential customers who visit the office and passing it to the Sales & Marketing team.

Office Maintenance: Ensuring the reception and waiting area remain clean, organized, and presentable at all times.

Appointment Scheduling: Managing the meeting schedules for senior management and ensuring clients are attended to on time.

6. Reporting:

Daily Reporting: Preparing a daily summary report of visitors, staff attendance, and vehicle usage for the Management.

Required Skills & Qualifications:

Professional Appearance: Must be smart, well-presented, and possess a professional attitude.

Communication: Excellent verbal communication skills in both Bengali and English.

Tech Savvy: Basic knowledge of Microsoft Excel, Google Sheets, and WhatsApp for business communication.

Patience: Ability to handle diverse clients and stressful situations with a calm and smiling face.
