Responsibilities & Context:

Job Responsibilities

  • To receive, screen, and transfer incoming calls.

  • To maintain records of important telephone messages.

  • To handle official email correspondence and forward communications to relevant departments.

  • To receive and greet students, guardians, faculty members, Officials and visitors professionally.

  • To maintain visitor logs, if required.

  • To guide visitors to the appropriate department or office.

  • To provide general information regarding meeting schedules, office locations etc

  • To support the Vice Chancellor’s office, Registrar’s Office, HR, Accounts, and Academic departments with routine documentation.

  • To maintain and organize files, registers, and records.

  • To coordinate between departments for smooth communication.

  • To assist in arranging meetings and appointments for management.

  • To maintain daily communication records (if assigned).

  • To keep track of courier, dispatch, and incoming/outgoing documents.

  • To receive complaints or service requests from students and visitors.

  • To forward complaints to the concerned department and follow up, if necessary.

  • To ensure cleanliness and discipline at the reception/front desk area.

  • To coordinate with support staff for logistical needs.

  • To execute any other assignment as and when required by the competent authority.
