Job Responsibilities:
∎ Maintain records, and preserve the document for the financial transactions-25%
∎ Finance Officer (A&D) is responsibly preserving and managing valuable data of the organization.
∎ Ensure Records Management Forms, Records Management Guidelines, Records Management Standards, and Records Management training and Standards.
∎ To maintain all record-keeping registers, forms, and logs required under the records management policy as official records.
∎ Maintain necessary office records, files, documents, MOU, agreements, lease agreements, etc., and tracked/preserved those documents with safe, securely, and systematically.
∎ Review documents, policies procedures, Govt. rules, and donor compliance-25%
∎ To perform audit-related record keeping/voucher/scanning copy sharing as per the requirement of the organization
∎ Assist in cross-checking invoices with payments and expenses and ensuring accuracy and managing organization accounts payable and receivable.
∎ Ensure VAT and TAX deduction and payment as per Government rules as well as with Revenue stamp.
∎ To maintain a stock of records management stationery as per office requirements, for example, archive boxes.
∎ To perform audit-related record keeping/voucher/scanning copy sharing as per the requirement of the organization
∎ Assist in creating and processing invoices as well as check /review regular expenditures (bills/advance adjustment/house rent fund disbursement etc.) for field office
∎ Ensure Finance Support & Reporting-20%
∎ Assist Finance Manager/FCs, Sr. Accounts Officer/Accounts Office in preparing any assigned reports, list/information/queries, and feedback to finance/end-user/other relevant activities/programs and events.
∎ Assist IRCO Finance Department in following the appropriate templates, and deadlines as per IR, B finance manual.
∎ Participation, Documentation, and Archiving-20%
∎ Maintain stock and Assets/Inventory list/register, physical count, verification, and periodical report to IRCO Finance Department.
∎ Preserve financial documents/vouchers/files/MOU, agreement, lease agreement, etc. in a safe place according to the IR, B archive policy.
∎ Visit the field office to transfer/depose/archiving of finance documents.
∎ Others-10%
∎ Participate & involved with seasonal programs (Ramadan, Qurbani, Winterization, etc.) activities.
∎ Take initiatives to ensure the security of project staff and participants during the intervention.
∎ Willing and able to travel frequently for extended periods and to remote areas of the projects.
∎ Ensure the safety of team members from any harm, abuse, neglect, harassment, and exploitation to achieve the program’s goals on safeguarding implementation and as well as Act as a key source of support, guidance, and expertise on safeguarding for establishing a safe working environment.
∎ Being a member of Islamic Relief as a child-friendly organization, it is the core responsibility and obligation of each staff member to understand and obey the IR Child Protection & PSEA Policy and respond accordingly as and when required.
∎ Perform any other duties assigned by Supervisor
Additional Requirements:
∎ Age 30 to 35 years
∎ Experience in working with Record Management & Documentation
∎ , Book Keeping, ledger, or related, Internal Audit (Scanning of vouchers for, funding agencies/partners or for audit purposes)
