Job Context:
∎ The Finance & Administrative Officer of Impact Meherpur Programme is assigned to his/her position by Impact Foundation Bangladesh (IFB). He/she is responsible to the Administrator, Impact Meherpur Programme or person designated by him in the execution in his/her duties.
∎ Job Location: IMPACT Jibon Mela Health Centre, Amjhupi, Meherpur
Job Responsibilities:
∎ Finance:
∎ Prepare project budget
∎ Carry out day to day financial transactions;
∎ Make vouchers, entry of vouchers in cash book and posting in ledger
∎ Maintain and update books of accounts in updated position daily
∎ Deal with all banking matters and reconcile bank balance with the bank statement at least once in a month;
∎ Maintain petty cash
∎ Make all sorts of accounting adjustment as per guidelines and in accordance with a accounting principles;
∎ Check and follow-up recovery of bills & all accounts receivable and outstanding / unadjusted advances;
∎ Ensure compliance with IFB protocals, all accepted financial rules, regulations, procedures, etc;
∎ Purchase materials and stationery as requested with the approval of Administrator or person designated;
∎ Ensure that all accounting source documents are accurately recorded and all financial activities kept in a true and fare manner;
∎ Prepare the monthly pay roll and disburse salaries to all staff members
∎ Responsible for the disbursement of cash, when required and obtain proper vouchers;
∎ Report all deviancies from IFB established policy and practices as laid down in the finance procedure;
∎ Prepare monthly financial statement of all project (income/expenditure, receipt /payment) in a manner consistent with IFB Accounting practice (i.e. all sales proceeds, staff advances, Project charges, provident fund contributions etc.) and submit to the Finance Manager
∎ Preparation of office note & cheques for expenses.
∎ Deduct VAT/Tax as per government rules and deposit to Govt offices accordingly.
∎ Administrative:
∎ Provide administrative support to the Administrator and other staff members;
∎ Maintain office records and files in proper order and update them monthly/periodically. Introduce new files or systems in consultation with the Administrator, when require;
∎ Ensure that filing of letters/documents, etc. is done properly and accurately;
∎ Maintain personnel and confidential files of the staff members and ensure that such contracts and files hold their nature of confidentiality;
∎ Receive mail or message for the Administrator and other staff members and ensure timely transmition of these manages including e-mails;
∎ Routine correspondence for the Administrator;
∎ Manage and supervise day-to-day activities of support staff;
∎ Ensure and manage all transport movement
∎ Provide logistics support and ensure supplies to all staff;
∎ Liaise with head office for information and related matters;
∎ Maintain computers, office equipment, vehicle, accommodation (guest house), etc.;
∎ Ensure regular timely servicing of all vehicles, yearly renewal and ensure that they are properly maintained;
∎ Responsible for maintaining and storing of all goods/materials (General, Medical, etc.) in the Office with the advice of the Administrator;
∎ Issue items as per requisition which has been prepared properly. Priority should be given to the old stock to be issued first. Maintain stock registers daily with details of all items issued;
∎ Ensure the proper utilized of the resource and help building capacity of project manager for maintenance of good and transparent accounting and financial management system;
∎ Organised meeting seminar and ensure logistic support in a proper way with the advice of the Administrator and prepare documents for collecting various certificates Government authority.
∎ Liase with local Govt. and Non-Govt. officials and other agencies as per instruction of the Administrator;
∎ Maintain a movement Register for vehicles as well as personnel;
∎ Maintain the fixed assets register of the IMP.
Salary: Tk. 27000 - 30000 (Monthly)
