Job Purpose

The purpose of this role is to ensure the efficient management of operational and financial functions within the organization. The role involves preparing and updating the Annual Operating Plan (AOP), managing budgets, conducting detailed data analysis, and ensuring compliance with internal audits and organizational policies. Additionally, he/she will oversee the administration of inventory and reservation systems, support service improvement initiatives, and ensure effective inter-departmental communication.

Key Responsibilities

  • Prepare and update the Annual Operating Plan (AOP) and yearly budgets by collaborating with relevant stakeholders, and generate budget variation reports to track and analyze financial performance.

  • Administer and maintain operational systems by coordinating with vendors and troubleshooting issues to ensure seamless functionality.

  • Perform detailed data analysis using MIS tools to identify trends and provide actionable insights to management for informed decision-making.

  • Serve as the focal point for internal audits, ensuring compliance with audit recommendations and organizational policies.

  • Conduct regular field visits to monitor BLC operations, identify gaps, and implement service improvement initiatives for enhanced efficiency.

  • Update and maintain Standard Operating Procedures (SOPs) by incorporating audit findings and performing risk assessments to develop comprehensive guidelines.

  • Ensure effective communication by facilitating collaboration across departments and organizing quarterly and annual meetings for Operations Managers.

  • Prepare monthly, quarterly, and annual reports by compiling relevant data and presenting insights as required by management.

SAFEGUARDING RESPONSIBILITIES

  • Ensure the safety of Programme Participants, people who come into contact with the organisation and team members from any harm, abuse, neglect, harassment and exploitation including sexual exploitation and abuse (SEA) to achieve the programme`s goals of safeguarding implementation. Act as a key source of support, guidance and expertise on safeguarding for establishing a safe working environment.

  • Practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action.

  • Follow the safeguarding reporting procedure in case any reportable incident takes place and encourage others to do so.
