Experience:

MAJOR RESPONSIBILITIES:
Work under the overall supervision of the Associate Director to ensure administrative, operational, and financial processes are compliant with organizational policies.
Manage Associate Director’s calendar, schedule meetings, appointments, and follow-ups to support effective time management.
Serve as the primary point of contact between the Associate Director and government agencies, donors, partners, different departments of BRAC and internal programme teams.
Ensure timely, professional communication and follow-up on decisions, commitments, and queries.
Organize and coordinate meetings, including agenda preparation, document distribution, minute-taking, and action tracking.
Engage and assist different workshops, seminars, and programme events with PHC team for ensuring successful execution and stakeholder engagement.
Maintain an up-to-date register of all health programme assets, ensuring proper tagging and regular physical audits.
Ensure regular stock-taking, documentation, and reconciliation of project materials.
Coordinate visa processing, travel documentation, flight bookings, hotel arrangements, and itineraries for senior management, donor missions, and visiting delegates.
Maintain accurate records including meeting minutes, SOPs, manuals, memos, and programme documents.
Support the development of concept notes, briefing materials, and internal communications as needed.
Support planning and coordination of donor visits, including preparing programme briefings, presentations, memos, and circulars to effectively communicate programme achievements and progress.
Ensure the safety of Programme Participants, people who come into contact with the organisation and team members from any harm, abuse, neglect, harassment and exploitation including sexual exploitation and abuse (SEA) to achieve the programme's goals of safeguarding implementation. Act as a key source of support, guidance and expertise on safeguarding for establishing a safe working environment.
Practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action.
Follow the safeguarding reporting procedure in case any reportable incident takes place and encourage others to do so.
