Job Responsibilities:
∎ Will act as the Chief Coordinator and Head of Quality for the Sample Section of the company and ensure that sample production and quality are being made and completed as per Buyer's requirements/approved samples.
∎ Distribute responsibilities fairly among all staffs based on available manpower and machineries.
∎ Prepare "Sample Production Plan" based on received sample requirements and send daily updated copies to all concerned including merchandisers via email.
∎ Maintain constant contact with merchandisers and take initiative to obtain sample requirements and submission dates from them.
∎ Upon receipt of the sample requirement, study the Techpack/Detail Sheet to ensure that it will be possible to submit the sample within the specified time and enter this information in the "Sample Production Plan". If otherwise then should seek extension if necessary in coordination with the concerned merchandiser. However, it should be noted that if any commitment which has already been made by the Managing Director/Marketing Director or the Merchandiser regarding the date of sample submission to the buyer, it must be maintained without fail.
∎ Ensure that the fabrics, trims and accessories required for sample making are stocked in the sample section at least 5 days in advance.
∎ Create an alert sheet in Microsoft Excel so that the sample submission is never missed on the specified date. If any problem is suspected in this regard, it should be informed in advance to the concerned merchandiser and management.
∎ Set daily sample output targets for each operator in coordination with Pattern/CAD Masters. If there is any variation in the output, review the root cause and take necessary measures.
∎ Maintain the inventory of the sample room and send the report in summary form by email to all concerned including merchandisers within 3rd day of every month.
∎ At the time of sample making, with the help of IE department and technician, arrange for sample making from the beginning in the simplest way so that it is possible to achieve the quality of the buyer and the productivity as per the requirement of the organization. In this case, if you need to use any additional machines or tools, you should inform the management in advance.
∎ Always maintain good relationship with subordinates and all staffs and workers of sample section and always encourage and coordinates in all aspects to ensure quality samples. Should never indulge in favoritism or nepotism of any kind.
∎ If Buyer's Acceptable Quality Level (AQL) is not mentioned in Techpack, should confirm it from the concerned merchandiser and inform all concerned accordingly.
∎ Coordinate with Floor Production and Quality Managers and discuss productivity and quality issues with them as necessary.
∎ Maintain constant communication with concerned Merchandisers and Quality/Designer or Sample in charge of Buying Houses. If there is any doubt or doubt about the workmanship of the sample, if necessary, try to solve the problem by appearing in person at the buying house.
∎ Before sending any sample to the buying house, make sure that the sample is made as per the buyer's requirements including all the comments and there are no defects anywhere. Always try to pass all samples first time.
∎ Provide daily sample output report to the authority in specified format by email and in short form via WhatsApp.
∎ Maintain rapport with Buying QC and assist them in their responsibilities.
∎ After the order is confirmed, get the copy of the order file from the concerned merchandiser and ensure sample preparation by being well informed about each level/stage of the workmanship.
∎ Get the sample submission date and information from the concerned merchandiser correctly.
∎ Attend all PP meetings and participate in discussions regarding specific styles of quality and workmanship and communicate well to all concerned. Will personally check the marker/pattern prepared and if satisfied only then should sign it and give clearance for cutting.
∎ Never engage in any irregularities in assigned duties and encourage everyone to put the interests of the organization above all else.
∎ Do not engage in any activity against the interest of the organization and immediately inform the authority if any such thing is noticed.
∎ If the authority assigns any work in addition to its responsibility regarding the organization, should accept the same with a happy heart and will strive to fulfill it.
