∎ This position combines both logistics and administration tasks. You will play a pivotal role in supporting our customers, managing all logistics in Bangladesh, optimizing processes, improving efficiency, and ensuring that administrative tasks are executed accurately and in a timely manner. This role requires a proactive and detail-orientated individual with excellent leadership and communication skills.
∎ Your main objectives? Always putting the customers` needs at the center and providing them with the best possible service.
∎ Office management duties:
∎ Overseeing and managing the administrative and operational functions of the back - office operations within the Bangladesh office.
∎ Generate reports and provide data analysis as required by management.
∎ Identify opportunities and improvement of standard operating procedures.
∎ Oversee data entry, data verification, and data management tasks.
∎ Assist in budget planning and management for office-related expenses.
∎ Maintain accurate and organized records, documents, and files.
∎ Follow-up and keep tracking of the timesheet of the team, including holidays, casual leave, etc.
∎ Logistics related duties:
∎ Sending any spare-parts our customers' machinery pool may require managing the whole logistics process: Requesting quotations to the transportation companies; coordinating shipments and preparing any documentation the shipment may require; keeping the clients informed about their shipment status and solving any incidence taking place along the process.
∎ Preparing any documentation required for both the transport & export of our technologies according to the specific destination and payment method (invoices, dispatch notes, bill of lading, packing list, EUR-1 certificate, etc.).
∎ Customer communication: Providing our customers with info regarding the dates of service (departure, transit & arrival).
∎ Requesting quotations for air/sea/land transportation, as well as coordinating the shipments.
∎ Shipments follow-up (through our Shipwork).
∎ Validating transportation invoices.
∎ Claiming our insurance companies regarding any incidence which may take place.
∎ Sales administration related duties:
∎ Preparing both purchase offers and proforma invoices, sending them to our customers & doing the corresponding follow-up.
∎ Managing our customers' payments, including any claims regarding outstanding amounts.
∎ Sales target review and tracking.
∎ Machinery pool block control according to customers' payments.
∎ Actively monitoring our Area Managers weekly report.
∎ Updating the Area Managers' travel & sales visits calendar.
∎ Registering new companies within our data base system.
∎ Customer service related duties:
∎ Assisting our customers both by mail and phone.
∎ Preparing invitation letters for our customers' visits, as well as dealing with Embassies or public agencies when necessary.
∎ Managing customers hotel & transportation reservations.
∎ Age 25 to 45 years
