Experience:

Human Resources Support
· Support recruitment processes, including job advertisement, CV screening, interview scheduling, and coordination with camp authorities for volunteer engagement and approvals.
· Assist in onboarding, orientation, and documentation of staff and volunteers, ensuring smooth integration into service center and camp-based activities.
· Maintain updated personnel files (hardcopy and digital) and prepare HR documents such as contracts, appointment letters, and ID cards.
· Track attendance, leave, and timesheets of staff and volunteers, including regular follow-up to ensure compliance and accuracy.
· Ensure HR compliance with organizational policies and procedures, and support ongoing volunteer management, performance follow-up, and coordination at service center and camp level.
Administrative Support:
· Maintain organized office filing systems and documentation, and manage office supplies, stationery, and consumables to ensure smooth daily operations.
· Coordinate meetings, trainings, and workshops, including all related logistics and administrative arrangements.
· Support travel arrangements (transport, accommodation, movement plans) and ensure proper maintenance of office facilities and utilities.
Assets Management:
· Maintain and regularly update the asset register, ensuring proper tagging, tracking, and complete documentation of all assets (IT and non-IT).
· Conduct periodic physical verification and reconcile records, while ensuring proper use, safety, and maintenance of assets.
· Support asset handover, transfer, and disposal processes in line with policy, and promptly report any loss, damage, or discrepancies.
Logistics Support:
Assist in procurement processes in line with organizational guidelines, including coordinating with vendors and service providers for timely delivery of goods and services.
Support the delivery, receipt, inspection, and proper stock/warehouse management, ensuring accurate record-keeping.
Ensure vehicle management support in program sites, including fuel tracking and movement coordination.
Facilitate timely distribution of supplies to service delivery points, outreach teams, and camps, ensuring proper handling and compliance with health standards.
Coordination, Compliance & Reporting:
· Support internal and external audits by organizing required documents, ensuring compliance with HR, admin, procurement, and asset policies, and maintaining proper documentation and confidentiality standards.
· Liaise with internal teams and external stakeholders (including vendors and service providers) to ensure smooth coordination across HR, admin, logistics, and field/camp activities
· Prepare periodic reports (HR, admin, assets, logistics) and ensure accurate record-keeping to support effective decision-making and reporting requirements.
