Responsibilities & Context: Assistant Manager/Manager - Administration will be responsible for day to day administration related activities, who has initiative, experience in following sector, drive and self-motivation to take challenges to deliver high quality results.
- Maintain day to day administration and general services relating to logistics, office administration, office maintenance, and Project related work.
- Undertake routine visits to the other units and projects
- Manage daily administration, including attendance, legal, and corporate affairs.
- Serve as the main point of contact between the organization and local police stations, law enforcement agencies, and other government bodies
- Coordinate meetings, conferences, and company events, including logistics.
- Ensure compliance with employee work schedules and attendance.
- Creating, maintaining, and organizing office records, files, and databases.
- Familiarity with labor laws, regulations, and compliance requirements is important to ensure the organization operates within legal boundaries
- Visit markets for the procurement process to ensure timely sourcing and purchasing of office supplies, equipment, and other materials
- Collaborate with senior management and department heads on HR and administrative matters to ensure alignment.
- Oversee and plan seating arrangements to ensure efficient use of space and comfort for all employees.
- Coordinate with IT and facilities teams to ensure each workstation is fully functional and meets employee needs
- Maintain an accurate inventory of office assets, including equipment, furniture, and other materials.
- Conduct post-incident analysis and reporting to identify lessons learned and improve future responses. Liaise with local law enforcement, emergency services, and other relevant agencies to enhance security measures.
- Work closely with program managers to coordinate events, training sessions, and other organizational initiatives.
- Responsible for conflict management, grievance handling, disciplinary action & maintenance of harmonious interpersonal and inter-departmental relationships.
- Organize company events, meetings, and employee engagement activities.
- Serve as the point of contact for internal and external administrative matters.
- Perform any other tasks assigned by management.
