  • Ability to manage field visits and operational responsibilities beyond the office environment.


Responsibilities & Context:

HealthOS is seeking a diligent, organized, and dependable Admin Officer to support and oversee essential administrative and operational activities across both office and field environments. This role is critical in ensuring operational efficiency, legal compliance, and effective vendor coordination, while also supervising junior administrative staff.

Key Responsibilities

  • Procurement & Supplies:

  • Monitor and manage office supplies, stationery, and procurement requirements to ensure timely availability without overstocking or shortages.

  • Asset Management:

  • Maintain accurate records of organizational assets including IT equipment, furniture, and other infrastructure items.

  • Facility & Utility Oversight:

  • Ensure timely payments of office rent, utilities, and internet services. Liaise with landlords and service providers as necessary.

  • Regulatory Compliance:

  • Oversee the renewal and maintenance of legal documents such as trade licenses, fire safety certifications, and other statutory requirements.

  • Vendor Coordination:

  • Manage relationships with third-party vendors including cleaning, repair, and maintenance services. Ensure service level expectations are met.

  • Event & Meeting Logistics:

  • Coordinate internal events such as team meetings, training sessions, and organizational gatherings.

  • Documentation & Record Keeping:

  • Maintain both physical and digital records of bills, contracts, agreements, and correspondence in a structured and retrievable manner.

  • Team Supervision:

  • Provide guidance and task supervision to junior administrative staff. Ensure task completion and maintain discipline within the admin team.

  • Reporting & Communication:

  • Prepare and share weekly and monthly administrative reports using Google Sheets and Google Docs. Communicate updates to relevant stakeholders in a timely manner.
