Job Context:
∎ Uttaran is an NGO working Bangladesh since 1985 (www.uttaran.net). Uttaran is a people cantered organization using a rights based approach to alleviate poverty, diversify livelihood opportunities and empower poor communities of Bangladesh.
∎ The project aims to support the Rohingya Refugees living in Bhasan Char and facilitating their access to improved sanitation facilities, personal hygiene and hand washing facilities. It is expected that the proposed interventions would bring sustained behavioral change and reduction of health risks associated with water and sanitation related diseases. Through the project, Organization expects to reach extreme vulnerable groups and to provide them with direct assistance for identified WASH needs, by coordinating with and complementing the existing WATSAN/WASH programmes of the Government of Bangladesh, RRRC, DPHE, UNICEF, UPs, BDRCS, UN agencies, international NGOs and local/national NGOs working, LGIs and Upazila administration in Noakhali.

Job Responsibilities:
∎ The Admin Assistant will be overall responsible for managing the base supply for products and services and its effective management including procurement, travel & lodging arrangement, logistic support for different training/meeting/workshop. The Logistic Assistant will be responsible to support the delivery of a timely and appropriate response to the current crisis that builds strong links to the existing programs in Bangladesh. The specific focus areas of responsibility will include: collect quotation, market survey, supplier information collection, managing suppliers and communication with different units/departments. The Logistic Assistant will also be responsible to support of different projects for the organization response team. Ensure that project implementation meets the global/organizational standards of emergency responses and donors’ compliance aspects.
∎ Admin Assistant will be responsible for the following tasks:
∎ Assist in procurement and supply chain including: collecting quotes, follow-up with vendors, processing documents for approval and handing small cash purchases/Payment Process etc.
∎ Stock keeping of admin supplies in Cox’s Bazar level, including receiving of goods, managing goods on transit, arranging delivery of material, maintaining stock and stock registers as necessary
∎ Receive and record Purchase Request forms
∎ Monitor and track all inventory and maintain the Inventory Report
∎ Update and manage the procurement tracker and share with relevant staff.
∎ Update and manage the Assets data at Cox’s bazar level and share with IT focal person.
∎ Update and manage the Contract tracker and share with Operation.
∎ Issue Purchase Orders for minor procurement and provide timely follow-up with vendors to ensure deadlines are met
∎ Support in archiving of procurement, admin, inventory and assets documentations in accordance with organizational guidelines; maintain proper filing system
∎ Arrange travel and logistics for staff and visitors including hotel and flight bookings, airport pick-up and maintaining the flight tracker if necessary.
∎ Manage vehicle movements for the Cox’s Bazar office by planning and assigning the drivers as per the vehicle requests for the team in Cox’s bazar.
∎ Maintain and update the accommodation tracker to monitor staff and visitor housing needs
∎ Perform any other duties is assigned by Supervisor
∎ Collect supplier profile with maintain a log for vendor enrolment
Additional Requirements:
∎ Age at most 40 years
∎ 2-3 years of experience in development organization in the field of supply chain is preferred/Administration
∎ Good knowledge on computer (MS Word, Excel) and Bangla typing is essential.
∎ Previous work experience in refugee camps
∎ Previous work experience in emergency settings
∎ Fluently spoken and written English
∎ Dynamic individual with a demonstrated ability to achieve results in a demanding and difficult environment
∎ Practical, quick, reasoning skills; must be able to communicate with all parties of the project
∎ Demonstrated ability for people management
∎ A team player; committed to motivating and leading staff
∎ Clear understanding of the working of Donors grants and their perspective, requirements and standard
∎ Able to work and manage in a hardship post and willingness to frequently travel in and out of field.
∎ Good computer skill is an additional qualification
∎ Willing to travel in remote areas
∎ Willingness to be based in the field.
∎ Commitment to working with Humanitarian organization.
Salary:
∎ Monthly salary BDT. 30,000 including all benefits
