Responsibilities & Context:
∎ Ensure inventory is accurate and monitor inventory levels by conducting physical counts and regularly reconciling with the balance.
∎ Conduct proper checks and verify their condition.
∎ Ensure items dispatched from the warehouse are inspected properly, are in good condition, and are counted accurately according to the needs of the program.
∎ Oversee the receipt, storage, and dispatch of all relevant supplies and equipment.
∎ Conduct regular stock checks to monitor inventory levels, identify discrepancies, and ensure records' accuracy.
∎ Implement and maintain an effective system for stock rotation to ensure proper utilization of supplies with first-in, first-out (FIFO) principles. Identify and report the short expiry medicines/stocks and notify the line manager.
∎ Coordinate with the program and procurement team according to program plans to ensure timely delivery of supplies and monitor stock levels to prevent stockouts or excess inventory.
∎ Identify possible overstock/ understock items based on average consumption and notify the line manager.
∎ Maintain accurate and up-to-date records of all warehouse activities, including receipts, dispatches, and stock levels.
∎ Generate monthly and quarterly reports on stock movement, stock status, and warehouse activities as required by the program.
∎ Assist in preparing reports for internal and external audits and support compliance with organizational and donor requirements.

∎ Ensure compliance with health and safety regulations, pharmacy management SoP within the warehouse premises.
∎ Implement proper storage techniques to preserve the quality and integrity of supplies.
