Responsibilities & Context:
∎ Manage the MD's calendar, plan and schedule meetings, taking into account various time zones for both local and international engagements.
∎ Organize comprehensive travel plans including visa applications, booking flights and hotels, and arranging transportation.
∎ Prepare necessary documents, presentations, and reports for a variety of business meetings across locales.
∎ Serve as the primary contact for stakeholders, manage communications, and maintain strong, professional relationships.
∎ Provide translation services and cultural insights to ensure effective international communication.
∎ Safeguard sensitive business information and maintain all forms of business records with utmost confidentiality.
∎ Monitor tasks and action items arising from business activities, collaborating with relevant parties for successful completion.
∎ Perform office tasks like photocopying, scanning, and filing, and handle personal errands with professionalism and discretion.
∎ Represent the Managing Director in meetings with government officials, effectively communicating company interests.
∎ Handle international phone calls, ensuring clear communication across time zones.
∎ Draft briefs for media including TV and newspapers, aligned with the company's public relations strategy.
∎ Evaluate specific projects as an internal auditor to assess efficiency and performance, reporting findings to the Managing Director.
∎ Assist the Managing Director's family with travel arrangements and provide additional support as needed.
∎ Oversee the Managing Director's transportation needs, manage vehicle maintenance schedules, liaise with drivers, and coordinate security arrangements.
