Experience:
Assist the Purchase Manager in sourcing, evaluating, and negotiating with suppliers and vendors for F&B items, operating supplies, guest amenities, and engineering parts.
Review purchase requisitions from various departments for accuracy, budget compliance, and operational necessity.
Obtain competitive quotations, analyze bids, and prepare purchase orders (POs) in accordance with hotel standard operating procedures (SOPs).
Ensure timely delivery of goods to prevent operational disruptions across departments.
Maintain and expand a reliable database of approved local and international suppliers.
Monitor vendor performance regarding product quality, pricing, delivery punctuality, and credit terms.
Assist in negotiating annual service contracts, maintenance agreements (AMCs), and bulk-purchase discounts.
Ensure all vendors comply with safety, legal, and environmental standards set by the resort.
Collaborate with the Cost Controller and department heads to monitor stock levels and minimize wastage or overstocking.
Participate in regular physical inventory counts (monthly, quarterly, and annual stocktakes) and reconcile discrepancies.
Monitor market trends and commodity pricing to identify cost-saving opportunities without compromising quality.
Maintain meticulous records of all purchasing transactions, invoices, delivery challans, and contracts using the hotel's Material Management System (MMS) or Property Management System (PMS).
Coordinate closely with the Accounts Payable department to resolve invoice discrepancies and ensure timely vendor payments.
Ensure all procurement processes adhere to local statutory regulations, health and safety codes, and internal audit requirements.
Supervise, train, and mentor junior procurement staff and storekeepers.
Build strong communication channels with Head of Departments (HODs) to understand their specific operational needs and forecast upcoming demands (e.g., peak resort seasons, events, renovations).
